Sales Process & Documentation

  • Prepare global sales documents including Commercial Invoice, Packing List, COO, and MOE/Chamber legalizations.
  • Create Certificates of Origin through the Ministry of Economy and Chamber of Commerce.
  • Print invoices from ERP systems and prepare Excel-format invoices and packing lists.
  • Prepare and review bank documents such as Letters of Credit (LC) and Cash Against Documents (CAD).
  • Verify and check Bills of Lading for accuracy before approval and release.

Shipping, Logistics & External Coordination

  • Deal directly with shipping lines, freight forwarders, and logistics companies for bookings and shipment planning.
  • Apply correct Incoterms based on customer agreements and ensure compliance.
  • Follow up with clearing agents to ensure timely customs clearance and shipment movement.
  • Track shipments until arrival at destination and provide updates to customers and the sales team.

Internal Coordination

  • Coordinate closely with factories, procurement,, and sales teams to follow up on production, stock readiness, and order timelines.
  • Work with finance for payment terms requirements, and supporting documents.
  • Communicate with logistics, quality, and warehouse teams to ensure proper packing, loading, and dispatch.
  • Provide full administrative support and reporting to the Global Team.

Reporting & Administration

  • Maintain trackers for orders, shipments, and global documentation.
  • Prepare reports as required.
  • Ensure all documents are archived properly for internal records and compliance.
Desired Candidate Profile
  • Strong precision and accuracy when working with numbers and documents.
  • Ability to work under pressure and handle multiple deadlines.
  • Excellent communication skills and good email correspondence in English and Arabic.
  • Strong knowledge of MS Office (Excel, Word, Outlook).
  • Understanding of Incoterms, global logistics, international shipping procedures, and compliance.
