About the role:

Location: Sharjah, UAE

Hours: Full Time - 38 hours per week

As a result of our continued growth plans at Motive, we are now hiring for a Logistics Coordinator for our MENA division.

Based our Motive base in Sharjah, UAE, and reporting into the Office Manager for MENA, the Logistics Coordinator is responsible for managing and coordinating the flow of goods and materials within the supply chain to ensure efficient and timely delivery. This role involves working closely with vendors, internal teams, and customers to handle logistics operations and resolve any issues that may arise.

In this role, you can expect a varied workload, where no two days will ever be the same. You'll have the opportunity to play a big part a fast-paced, ever-changing environment, which will see you work on your problem solving skills and customer service. You'll be the one that keeps many things moving when challenges arise and be responsible for supporting your team, suppliers and clients to ensure operations run smoothly.

Responsibilities:

People

  • Adopt and promote the Motive Offshore Group People Values and ensuring their use is embedded throughout.
  • Develop strong working relations with key stake-holders – clients, colleagues etc.
  • To be a positive ambassador for Motive Offshore Group Ltd.

Planet

  • Lead by example in setting the highest possible standards in the promotion of People Values, HSEQ procedures and best practice, ensuring compliance to the Motive Offshore Group HSEQ Policy, procedures, standards and regulatory obligations.
  • Immediately report all accidents, incidents, near misses or environmental concerns
  • Adhere to and participate in company-wide sustainability policies, procedures and initiatives as they are developed to support our Net Zero objectives.

Product

  • Schedule and coordinate the transportation of goods, including arranging shipments, managing carriers, and tracking deliveries to ensure on-time performance.
  • Prepare and maintain accurate shipping and receiving documentation, such as bills of lading, shipping manifests, and customs documentation.
  • Enter logistics data into relevant systems, generate reports on key performance indicators (KPIs), and assist in analyzing data to improve logistics efficiency.
  • Ensure all logistics operations comply with company policies, industry regulations, and safety standards.
  • Receive and verify deliveries to ensure the correct quantity and type of stock is received.
  • Arrange the collection of materials from suppliers as requested by the Operations team.
  • Collaborate with Warehouse and Operations teams to plan and manage inbound and outbound logistics activities.
  • Prepare customs documentation, arrange customs inspections, and generate incoming Bills of Entry (BOE).
  • Maintain scanned records of all incoming and outgoing shipping documents, including BOE and CIPL.
  • Issue purchase orders (POs) to vendors in WAP for all logistics-related expenses.
  • Communicate material receipts via email to all relevant parties, including PO and invoice details.
  • Prepare Commercial Invoice and Packing List (CIPL) and delivery note against customer purchase order.
  • Coordinate with customers regarding shipment readiness and delivery schedules.
  • Handle customs documentation and clearance for shipments; for Ex-Works shipments, ensure customers are charged appropriately for clearance and delivery.
  • Arrange transportation for deliveries as required and coordinate crane and forklift support for loading and unloading activities.
  • Develop and oversee loading plans to ensure trailers are arranged in line with equipment dimensions and weight.
  • Reconcile stock balances with SAIF Customs records and ensure accuracy of inventory documentation.
  • File all incoming and outgoing Bills of Entry in an organized and accessible manner for future reference.
  • Provide support to the Procurement team as requested by the Operations department.
  • Liaise with SAIF Zone operations to arrange cranes, forklifts, or labor as needed.
  • Apply for approvals for heavy crane operations in SAIF Zone after gathering all necessary information from the crane company.
  • Provide transportation support by collecting and dropping staff from Sharjah during the annual leave of the company driver, ensuring timely arrival at the office.
  • Assist the Sales team in obtaining cost-effective and efficient freight and transport quotations as required.

Required skills / knowledge:

  • Relevant experience in logistics & supply chain management, proven experience with import/export documentation and customs clearance procedures in SAIF Zone, UAE.
  • Hands-on experience in shipping coordination, transport scheduling, and warehouse operations.
  • Familiarity with UAE trade regulations, port operations, and logistics service providers (e.g., freight forwarders, carriers).
  • Prior experience liaising with vendors, freight agents, and customs authorities is highly valued.
  • Experience in inventory management, order tracking, and supply chain optimization.
  • Strong understanding of supply chain and logistics processes.
  • Knowledge of Incoterms, shipping documentation, and international trade laws.
  • Ability to prepare and analyse logistics reports, cost analysis, and KPI dashboards.
  • Excellent communication and coordination skills to liaise with suppliers, transporters, and internal teams.
  • Strong problem-solving and decision-making abilities, especially under pressure.
  • Attention to detail and accuracy in managing documentation.
  • Time management and ability to handle multiple shipments or clients simultaneously.
  • Customer service orientation — ensuring smooth delivery and addressing customer issues promptly.
  • Negotiation skills for dealing with freight forwarders and logistics partners.
  • Valid UAE Driving License.
