Mindful Planner is a luxury events and celebration curation company based in Dubai, working with HNIs and UHNIs across the world to design intimate, high-end celebrations, destination events, and bespoke experiences.

We are looking for a
Head of Operations
who comes from the
luxury events / wedding / hospitality planning space
and is ready to step into a
more strategic, managerial, and leadership-driven role
.

This is a role for someone who has
done execution
, understands the realities of luxury events on-ground, and now wants to
own systems, teams, and delivery end-to-end
while still being close enough to execution to ensure excellence.

Role Overview

The Head of Operations is the
operational anchor
of Mindful Planner.

You will be responsible for translating vision into structure, ensuring flawless execution, building scalable systems, and developing a high-performing team while maintaining the calm, elegance, and discretion expected in the luxury events space.

This role is ideal for someone who has worked as a
luxury event planner or senior operations professional
and is now looking to move into a
managerial and leadership position
with long-term growth potential (leading towards a Chief Operations role).

Key Responsibilities & Deliverables

1. Drive Execution & Delivery Excellence

• Own end-to-end execution of luxury events, celebrations, and destination experiences
• Ensure projects are delivered
  on time, within budget, and to premium quality standards
• Manage timelines, vendors, internal teams, and on-ground coordination
• Anticipate risks and create contingency plans to avoid last-minute escalations

Deliverable:
Smooth, stress-free, high-quality execution across all events

2. Build Scalable Systems & SOPs

• Design and document SOPs for event planning, execution, vendor management, and internal workflows
• Create simple, usable systems that help the team perform consistently as the company grows
• Build operational dashboards, checklists, and reporting structures

Deliverable:
Clear systems that reduce chaos and dependency on individuals

3. Team Leadership & Development

• Lead, mentor, and develop planners, coordinators, and support staff
• Identify high-potential team members and groom future leaders
• Conduct regular reviews, feedback conversations, and capability-building initiatives
• Set clear expectations, ownership, and accountability

A reliable, confident, and empowered operations team

4. Align Operations with Founder Vision & Brand Standards

• Translate founder vision into actionable plans and quarterly goals
• Ensure all operations reflect Mindful Planner's values of elegance, discretion, calm execution, and thoughtful curation
• Act as a cultural role model for professionalism, ownership, and composure

Deliverable:
Founder confidence and reduced involvement in daily operations

Who This Role Is For

You are:

• Currently working as or worked in past as a
  Senior Event Planner / Lead Planner / Operations Lead
  in the luxury events space
• Looking to move beyond execution into
  management, structure, and leadership
• Comfortable handling high-net-worth clients and complex, high-stakes events
• Calm, composed, and confident under pressure
• Ambitious, growth-oriented, and eager to take ownership

What This Role Will Involve

• This is an
  early-stage growth company
  , not a large corporate setup
• You will
  lead strategy and systems
  , but also step into execution when required
• You will work closely with founders, creatives, sales, and external partners
• You will have
  real authority and ownership
  , not just a title

Experience & Skills

• 2–4 years of experience in
  luxury events, weddings, hospitality, or experiential services
• Strong operational and organizational skills
• Experience managing vendors, timelines, and multiple stakeholders
• Excellent communication and people management ability
• High attention to detail with a big-picture mindset
• Experience working with premium or UHNI clientele is a strong advantage
• An excellent hold of Hindi and English is a must (Arabic knowledge is a super bonus)
