Office Administrator
— On-site role based in the UAE. This position supports day-to-day office operations, front-desk services, vendor coordination and administrative processes to ensure smooth delivery of consultancy services.

Role & Responsibilities

  • Operate the main reception and front-desk: greet visitors, manage incoming calls, and maintain professional client-facing communications.
  • Coordinate travel, visa logistics and local accommodation arrangements for staff and visiting clients; liaise with travel agents and immigration service providers.
  • Manage procurement and inventory for office supplies, place vendor orders, obtain quotes, and track invoices to ensure timely replenishment and cost control.
  • Maintain accurate records and filing systems (physical and electronic), ensure document confidentiality and support document retrieval for project teams.
  • Oversee facilities and vendor relationships: arrange maintenance, manage service schedules, and escalate issues to leadership for resolution.
  • Prepare routine administrative reports and assist HR/payroll with new-joiner logistics, attendance records and onboarding tasks.

Skills & Qualifications
Must-Have

  • Proven experience in UAE office administration with strong front-desk and visitor management exposure.
  • Proficiency in Microsoft Excel and Microsoft Outlook for calendar, reporting and data management tasks.
  • Demonstrated ability in records management and office documentation (physical and digital filing).
  • Excellent verbal and written English; Arabic language ability is a strong advantage.

Preferred

  • Experience with travel & visa coordination and familiarity with UAE immigration processes.
  • Prior exposure to vendor management and procurement workflows in a corporate or consultancy setting.
