Fleet Manager Job Description

The Role

As a Fleet Manager for Connecting Minds HR Services FZE, the job duties would typically involve supporting the Fleet Manager in overseeing the operations, maintenance, and management of the company's fleet of vehicles. Key responsibilities include:

Fleet Operations Management
  • Vehicle Allocation: Assigning vehicles to different departments or clients based on their needs and availability.
  • Monitoring Fleet Usage: Tracking and monitoring the usage of fleet vehicles to ensure they are being utilized efficiently and according to company policies.
  • Vehicle Dispatch: Coordinating the dispatching of vehicles for different tasks, ensuring timely delivery and pickup.
Maintenance and Repair Coordination
  • Scheduling Maintenance: Helping in scheduling regular maintenance and inspections for fleet vehicles to ensure they remain in good working condition.
  • Repair Management: Managing and coordinating repairs, including working with service centers and ensuring that vehicles are back in operation as quickly as possible.
  • Record Keeping: Maintaining accurate records of all maintenance and repair activities, including costs and service details.
Compliance and Safety
  • Regulatory Compliance: Ensuring that all fleet vehicles comply with local and national regulations, including safety, emissions, and licensing requirements.
  • Safety Protocols: Developing and enforcing safety protocols for drivers and vehicles, including conducting safety training sessions.
Inventory Management
  • Fleet Inventory: Helping maintain an up-to-date inventory of all vehicles in the fleet, including tracking their condition, mileage, and usage history.
  • Procurement Support: Supporting the procurement of new vehicles and the disposal or sale of old or unneeded ones.
Fuel and Cost Management
  • Fuel Usage Tracking: Monitoring and tracking fuel consumption across the fleet to identify any inefficiencies or areas for cost reduction.
  • Cost Control: Supporting the Fleet Manager in budgeting and controlling costs related to fleet operations, including fuel, maintenance, and repairs.
Driver Management
  • Driver Scheduling: Creating and managing drivers' schedules to ensure adequate coverage for all required operations.
  • Driver Support: Providing support to drivers in resolving any issues that arise during their routes, including breakdowns or accidents.
Reporting and Analysis
  • Data Collection: Collecting and compiling data on fleet performance, including usage, costs, and maintenance history.
  • Reporting: Preparing regular reports for management on fleet performance, highlighting any issues or areas for improvement.
  • Analysis: Helping analyze data to identify trends, inefficiencies, or opportunities for cost savings.
Customer Service
  • Client Interaction: Managing client relationships, addressing any concerns, and ensuring high levels of service.
  • Feedback Management: Gathering and reporting on feedback from drivers, clients, and other stakeholders to continually improve fleet operations.
Administrative Tasks
  • Documentation: Handling administrative tasks related to fleet management, such as processing invoices, managing contracts, and ensuring all paperwork is up to date.
  • Communication: Acting as a liaison between different departments, vendors, and external partners to ensure smooth fleet operations.

This role requires a combination of organizational, logistical, and interpersonal skills, as well as a good understanding of vehicle maintenance.

Requirements:

  • Experience in fleet management or a similar role.
  • Strong organizational and multitasking abilities.
  • Knowledge of vehicle maintenance and regulatory compliance.
  • Excellent communication and interpersonal skills.
  • Minimum 3 to 7 years OEM/Regional office experience required.
