Job Summary

We are seeking a highly skilled and organized Executive Support Specialist to provide exceptional administrative support to the Regional Legal team at AtkinsRéalis.

Key Responsibilities:
  1. Act as the primary point of contact for the Regional General Counsel and his staff, handling all correspondence and communications.
  2. Screen and direct incoming communications, ensuring timely and effective distribution of correspondence.
  3. Manage and coordinate meetings, appointments, and travel arrangements for the team.
  4. Collate and process expense submissions, maintaining accurate records and reports.
  5. Record minutes of meetings and maintain accurate records of team activities.
  6. Produce high-quality reports, presentations, and briefs to support the team's objectives.
  7. Maintain and update various registers and databases, ensuring data accuracy and integrity.
  8. Develop and implement an efficient office filing system, ensuring easy access to critical documents.
  9. Conduct research and provide support on Integrity-related matters, maintaining confidentiality and discretion.
Requirements:
  1. Proven experience as a Personal Assistant or in a similar administrative role.
  2. Strong knowledge of office management systems, procedures, and software applications.
  3. Excellent organizational, time management, and communication skills.
  4. Ability to multitask, prioritize, and work effectively in a fast-paced environment.
  5. Discretion, confidentiality, and a strong sense of professionalism.
  6. PA diploma or certification is an asset.
  7. Ability to work effectively with diverse nationalities, personalities, and cultures.
