Duserve is seeking a highly skilled Document Management Specialist to join our team. As a key member of our organization, you will be responsible for maintaining effective processes and procedures for document control, ensuring all documents are organized, easily accessible, and retrievable.
Key Responsibilities:
- Maintain a systematic classification system that classifies and stores documents in a way that supports efficient retrieval and use.
- Establish and maintain a comprehensive and accurate record of all documents, including historical versions.
- Ensure that all documents are preserved in accordance with the requirements of our organization's policies.
- Coordinate the storage and disposal of obsolete or redundant documents in accordance with retention policies.
- Perform documentation distribution to appropriate individuals and ensure they have access to the latest and most relevant versions.
- Monitor the retrieval and updating of documents, and manage the circulation of revised and updated versions to ensure that stakeholders are working with the most up-to-date information.
- Support in ensuring the quality and accuracy of documents by conducting regular checks.
- Identify errors or discrepancies in documentation and work collaboratively with different teams to quickly address and resolve any documentation issues.
- Engage in all document-related inquiries, communicating any changes or updates in document control processes and policies to relevant parties.
- Ensure that all document control processes comply with regulations and regulatory standards by conducting periodic audits.
Requirements:
- Bachelor's degree with professional certification in Document Management will be an added advantage.
- Mastery of software and systems related to document management is essential.
