As the trusted Personal Assistant to Max Piccinini, a renowned entrepreneur and leader in training and coaching, you will play a pivotal role in supporting his daily operations and ensuring seamless execution of business and personal goals.

This is a unique opportunity to work closely with an inspiring business leader in a fast-paced and evolving environment. Your main objective will be to provide comprehensive support to Max Piccinini, handling various tasks and responsibilities that require discretion, organizational skills, and problem-solving abilities.

Responsibilities:

  • You will represent Max Piccinini in various operational activities, including visits to financial institutions, real estate investments, and supplier negotiations.

  • Manage day-to-day financial transactions such as bank transfers and checks, ensuring accuracy and compliance with relevant regulations.

  • Assist in sourcing and negotiating with vendors for various business-related projects, utilizing your negotiation skills to secure favorable agreements.

  • Handle urgent courier services, including DHL and postal requirements, ensuring timely delivery of essential documents and packages.

Household Management:

  • Recruit, manage, and oversee household staff, including maids and drivers as required, ensuring efficient household operations.

  • Ensure effective communication between household staff, vendors, and other stakeholders, maintaining a high level of professionalism and discretion.

  • Supervise the maintenance and procurement of essential household items, ensuring they meet the highest standards of quality and reliability.

  • Coordinate the family's personal calendar and events, ensuring smooth planning and execution of social and professional engagements.

  • Buy groceries online, Amazon deliveries, etc., managing household supplies and essentials with ease.

Personal Event Coordination:

  • Organize personal and family events such as birthdays, school schedules, and special celebrations, showcasing your creativity and attention to detail.

  • Manage travel bookings, flight reservations, and logistics for personal and family trips, ensuring seamless execution and minimal stress.

  • Find nannies abroad with alternative education backgrounds when traveling on holiday or business trips, providing peace of mind for the family.

Your Profile:

  • You have at least 4 to 5 years of proven experience as a Personal Assistant to a CEO or public figure, demonstrating your ability to handle complex tasks and responsibilities.

  • You are comfortable managing both professional and personal tasks with high standards and discretion, ensuring confidentiality and professionalism at all times.

  • You have strong organizational and problem-solving skills, with the ability to handle complex schedules and multitask effectively, prioritizing tasks and deadlines accordingly.

  • You are fluent in English (both spoken and written), with excellent communication skills and a natural ability to anticipate needs and expectations.

  • You are proficient with task management tools, Excel, and other administrative software, staying up-to-date with the latest technology and trends.

  • You are proactive and thrive in dynamic environments, adapting quickly to changing circumstances and priorities.

  • You have a sharp sense of responsibility, excellent communication skills, and a natural ability to anticipate needs, working collaboratively with the family and other stakeholders.

  • You are resourceful, dynamic, and adaptable, with a growth mindset and a passion for learning and development.

  • You maintain a high level of integrity, discretion, and professionalism, upholding the highest standards of ethics and conduct.
