Administrative Support Specialist

We are seeking an exceptional Administrative Support Specialist to join our team as an Executive Assistant to a senior executive. As a key member of our regional office, you will perform administrative tasks with high autonomy, utilizing a proactive and solution-oriented mindset.
This exciting role offers a unique opportunity to work in a dynamic environment where creativity and determination shape our future. You will be based in Dubai and report directly to the Regional Head of Consumer Products SAMEA.
As an Executive Assistant, your responsibilities will include:
- Scheduling meetings and ensuring seamless interactions with stakeholders.
- Screening and prioritizing communications, responding on behalf of the senior executive.
- Scheduling and organizing meetings, preparing agendas, coordinating logistics, and recording minutes.
- Taking notes during meetings and preparing meeting minutes, following up on action items.
- Booking travel arrangements and preparing expense reports.
- Managing the agenda, including vacation, travel, and time management.
- Scheduling global/regional meetings, taking minutes, and performing necessary follow-up.
- Exercising discretion in all activities and circumstances.
Your professional profile should include:
- Degree in administration, business, or relevant field preferred but not required.
- 5+ years' experience in an administrative support role, preferably from larger organizations.
- Experience in supporting senior leaders.
- Fluency in English.
- Expertise in PowerPoint and sound knowledge in Excel.
- Priority setting and proactive mindset.
- Ability to manage multiple inquiries.
