About the Role

We are seeking a highly organized and detail-oriented Executive Assistant/Office Manager to join our team at Robert Walters. As a key member of our Singapore office, you will play a pivotal role in ensuring the smooth operation of our daily activities.

Key Responsibilities
  • Office Management: Oversee the day-to-day operations of the office, providing administrative support to team members and ensuring the smooth flow of tasks.
  • Travel Coordination: Coordinate complex global travel arrangements, including flights, accommodation, and document preparation.
  • Calendar Management: Manage team members' diaries/calendars, coordinate meetings locally and globally, and ensure seamless communication across different time zones.
  • Document Management: Support the creation and management of documents across various formats, ensuring accuracy and attention to detail.
  • Visitor Coordination: Meet and greet visitors, coordinate hospitality, and build strong business relationships across the group and its global offices.
  • Expense Management: Screen and check receipts against individual's travel expense claims before submission.
  • Meeting Room Management: Manage the meeting room calendar, prepare meeting rooms ahead of meetings, receive and sort mail and other deliveries.
  • Supply Management: Monitor and order stationery and kitchen supplies, liaise with courier companies on costs and collections.
Requirements
  • Education: Degree/Diploma or equivalent in secretarial or business studies or a relevant field.
  • Experience: Previous experience within the financial services industry preferred.
  • Skills: Excellent commercial acumen, high levels of integrity, ability to multitask and prioritize workload effectively, excellent interpersonal skills, and a focus on collaboration.
  • Administrative Support: Experience in providing administrative support in an investment or finance company, ideally supporting a team.
  • Professionalism: Professionalism, discretion, and a self-starter attitude.
  • Communication: Excellent written and spoken English, strong communication skills.
