Job Role
As an Administrative Support Specialist, you will be responsible for providing high-quality and professional customer service to students, clients and all visitors or guests of IDP offices. You will also assist in maintaining effective administrative and office systems to ensure smooth office operations. Additionally, you will provide comprehensive administrative support to IDP staff with a strong focus on quality and accuracy.
Key Accountabilities
- Welcome visitors and guests in a friendly and professional manner and direct them to appropriate IDP staff.
- Register walk-in and call-in students on IDP's Client Relation Management (CRM) system and assign these contacts to counsellors.
- Answer incoming calls from the main office content number and redirect them to IDP staff as required.
- Monitor the generic office email account and distribute messages received to appropriate staff or other offices as needed.
Operational Support
- Support counselors in submitting university applications.
- Respond to student queries on the phone or WhatsApp.
- Assist in planning and preparing meetings, conferences, and conference telephone calls.
- Prepare and maintain marketing materials required for conferences or events.
Administrative Support
- Maintain updated copies of procedures manuals, forms and templates for use in the office.
- Arrange outgoing courier and mail pickups.
- Assist with other administrative support tasks as directed by the IELTS Test Center Administrator or Office Manager.
Requirements
