Job Summary

Avua is seeking a highly organized and detail-oriented Document Management Specialist to join our team. As a key member of our operations team, you will be responsible for establishing and maintaining an efficient document control system for all project documentation.

Key Responsibilities
  • Document Control System Management: Develop and implement a document control system that ensures all project documentation is properly classified, filed, and stored in accordance with company policies and procedures.
  • Document Tracking and Management: Track and manage document versions, revisions, and approvals to ensure accuracy and compliance with industry standards and project requirements.
  • Collaboration and Communication: Coordinate with project managers, engineers, and other stakeholders to ensure timely submission and retrieval of documents.
  • Document Distribution and Review: Distribute project documents to relevant parties as required and ensure all documents are reviewed and approved by appropriate personnel before distribution.
  • Quality Control and Assurance: Conduct regular audits to ensure document accuracy, quality, and compliance with industry standards and project requirements.
  • Process Improvement: Identify and rectify any discrepancies or errors in documentation and implement quality control procedures for document management.
  • Reporting and Metrics: Maintain accurate records of document distribution and receipt and prepare and distribute regular reports on document status, revisions, and outstanding issues.
Requirements
  • Education: Bachelor's degree in Business Administration, Information Management, or a related field.
  • Experience: Minimum of 2+ years of experience in document control, preferably in the energy and oil & gas sectors.
  • Skills: Proficiency in document control software and tools (e.g., EDMS, SharePoint, Aconex) and strong understanding of document management principles, standards, and best practices.
  • Personal Qualities: Excellent organizational, analytical, and problem-solving skills, strong communication and interpersonal skills, and fluency in English; proficiency in Arabic is an advantage.
