Job Summary

We are seeking a highly organized and detail-oriented Accounts Assistant to support our Head of Finance and Administration in day-to-day accounts and office administration tasks. The ideal candidate will have experience in general accounting and QuickBooks, as well as excellent communication and organizational skills.

Key Responsibilities
  • General Accounting:
    • Enter expense data into QuickBooks for all suppliers
    • Process supplier payments and maintain accurate Accounts Payable
    • Reconcile supplier accounts, including Etisalat, Insurance, and Fleet Repairs
    • Enter monthly WPS salary data into QuickBooks
    • Reconcile bank accounts for petty cash, bank, and credit card accounts
    • Process deferred revenue weekly schedule and accounting entries
    • Assist with month-end close and annual audit
  • Accounts Receivable:
    • Enter customer invoices into D365 system, export to Zed Systems, and import to QuickBooks
    • Process customer payments and allocate payments to customer accounts
    • Assist technicians with daily requirements, including distribution of invoices
    • Generate daily revenue report
  • HR and General Office Administration:
    • Maintain office and staff documents on the network and physical files
    • Update and monitor daily attendance sheet for staff
    • Update and monitor employee masters, including daily attendance sheet, air ticket, leave, etc.
    • Prepare offer letters, disciplinary actions, and memos
    • Assist with recruitment, including CV screening and first-stage telephone interviews
    • Prepare documents for visa processing and coordinate with PRO
  • Other:
    • Understand and comply with company and department policies, procedures, standards, guidelines, work rules, mission, vision, and values
    • Understand and apply general accounting principles and internal controls, making recommendations for improvements
Requirements
  • Experience in general accounting and QuickBooks
  • Office administration and/or HR administration experience/exposure is an advantage
  • Excellent English written and verbal communication skills
  • Attention to detail and respect for deadlines
  • Organized and strong time management skills
  • Decisive, persistent, and proactive methodology
  • Quick learner
  • Good team player with ability to work independently and efficiently
  • Able to work in a multicultural environment
