Coordination of Residence Activities [30%]

  • Manage the daily operations of the Residence, including staffing, schedules, and cleanliness. Ensure exceptional service and hospitality standards for official guests.
  • Prepare the Residence for overnight visitors, collaborating with the Residence Assistant to organize room assignments, establish hosting protocols, and arrange meal provisions.
  • Provide effective leadership, support, training, and development for the Residence Assistant. Coordinate additional support as necessary and manage leave coverage appropriately.
  • Maintain a systematic approach for event bookings and overnight accommodations, including a comprehensive calendar and prompt processing of requests. Collaborate closely with the Executive Office and events teams to keep leadership informed about events and guests.
  • Oversee the inventory management of Residence supplies and equipment, including alcoholic and non-alcoholic beverages. Ensure timely orders for replenishment and basic supplies for meetings.
  • Proactively identify maintenance needs to guarantee the Residence is always prepared for guests. Work with the Corporate Services team to report and follow up on maintenance issues.
  • Ensure compliance with all policies and procedures related to security, health and safety, risk assessments, and official hosting at the Residence.

Support for Executive Office [10%]

  • Provide comprehensive administrative assistance as part of the Executive Office, including diary management for senior leadership. Additional responsibilities may involve preparing official communications, supporting VIP visits, assisting with projects, and providing ad hoc support to the broader team.
