About the Role

We are seeking a highly skilled and experienced Business Operations Partner to join our team at Boston Scientific Gruppe. As a key member of our organization, you will play a critical role in delivering high-level service and superior customer satisfaction to our country Sales & Marketing teams.

As the primary point of contact for our business, internal & external customers, agencies, and other functions, you will be responsible for partnering with our teams to provide logistics, coordination, and administrative support for internal and external meetings, trainings, and events.

You will work with autonomy, receiving general instructions on new assignments, while ensuring compliance with internal policies, guidelines, and procedures.

Key Responsibilities
  • Serve as the reference contact person for country Sales & Marketing teams, as well as external customers, local HCP/HCO/PCO, preferred vendors, and conference organizers, providing information and answering queries related to established policies and procedures.
  • Lead the IRF (Internal Request Forms) management for local HCPs events and activities, ensuring timely communication and proactive partnering with all key stakeholders of the IRF process.
  • Organize and coordinate logistics for local events with HCPs, internal trainings, and meetings, partnering with Country sales and Marketing teams, and may be required to collaborate with EMEA/Global teams.
  • Manage PR (Purchase Requisition) and Purchase Order (PO) processes, including vendor creation requests, follow-up, payment terms, finance information, quotations, and budget, in collaboration with Business Support Central Services Team.
  • Handle invoice processing, payments follow-up, and invoice status.
  • Provide administrative support to the business, including updating internal files, creating documents, organizing, confirming, and arranging logistics, contracts, dinner/lunch arrangements, and master schedules for local events and tradeshows, and coordinating communication with relevant teams.
  • Proactively apply Lean Business methodology to increase efficiencies within our internal processes, while creating additional value for our internal and external customers.
  • Ensure awareness and compliance with applicable standard operating procedures to meet, comply, and champion all quality and regulatory commitments of Boston Scientific Gruppe.
  • Provide internal and external audit administrative support related to HCPs interactions, events, and meetings.
  • May be required to travel and assist with local, international events, EMEA meetings, in collaboration with other Business Support team members, held within our country or another country.
  • Manage work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner.
Requirements
  • Minimum 2 years of experience in customer care/administrative support.
  • Previous experience in event, meetings, and travel management is mandatory.
  • Fluent English, written and spoken.
  • Excellent communication skills with the ability to build long-lasting relationships.
  • Problem-solving skills with a strong customer service orientation.
  • Results-oriented and analytical skills.
  • Ability to work across cultures and matrix organizations.
  • Advanced level in the use of Microsoft Office (Outlook, PowerPoint, Word, Excel).
