Document Management Specialist

As a key member of the NOV team, the Document Controller plays a vital role in ensuring the efficient management of documentation related to API standards and work orders. This involves supporting the QA/QC and Operations teams by organizing and maintaining accurate records, ensuring compliance with industry regulations, and facilitating the timely delivery of high-quality projects.
Key Responsibilities:
• Prepare final documentation for each equipment, including certificates of conformity and compliance.
• Assist in preparing equipment service reports and creating documentation numbers for the DMS system.
• Download engineering documents related to workshop activities as instructed by quality and operation teams.
• Verify documents and drawings before sending to external parties.
• Provide document progress reports and create templates for future use.
• Conduct regular reviews and document audits.
• Register and distribute technical documentation to and from clients, suppliers, and third parties.
• Create workflows for internal and external comments on technical documentation.
• Check documents and drawings, OEM procedures before sending to external parties.
• Assist quality and operation teams with day-to-day activities.
Authorities & Accountabilities:
As a Document Controller, the role carries several key authorities and accountabilities to ensure efficient document management and compliance. These include establishing, implementing, and maintaining the document control system, liaising with QA/QC and Operations teams, and overseeing document review, approval, and distribution processes. The Document Controller is accountable for providing documentation during internal or external audits, ensuring all requested documents are accurate, up-to-date, and readily available for review. They must also ensure that all documentation processes are completed within project timelines and that all documents are retained, archived, or disposed of in accordance with company policies and legal/regulatory requirements.
Requirements:
• Diploma or equivalent technical qualification with relevant content (relevant experience may be an alternative to required educational background).
• Minimum 3 to 5 years document control experience.
• Good decision-making skills.
• Preparation of QA/QC reports to management.
• Thorough knowledge in MS Excel, Word, Visio, and PowerPoint presentation.
