We are seeking a highly organized and detail-oriented Receptionist to join our team at Subsea7. As a key member of our front office team, you will be responsible for providing exceptional customer service and ensuring the smooth operation of our reception area.
Key Responsibilities:- Greeting and Welcoming Guests: Greet and welcome guests as soon as they arrive at the office, assist them to log in to our Teams-go system, and print their visitor's pass.
- Directing Visitors: Direct visitors to the appropriate person in all floors.
- Phone and Email Management: Answer, screen, and forward incoming phone calls and provide basic and accurate information in-person and via phone/email.
- Reception Area Maintenance: Ensure the reception area is tidy and presentable, with all necessary stationery and materials.
- Office Security: Maintain office security by following safety procedures and controlling access via the reception desk.
- Supply Management: Order front office supplies and keep inventory of stock.
- Meeting Room Management: Update meeting room calendars and schedule meetings.
- Expense Management: Keep updated records of office expenses and costs.
- Visitor Induction: Coordinate with the HSE team for arranging visitors' HSE office induction and updating the welcome presentation to be displayed on the TV screens.
- Parcel and Document Management: Take delivery of parcels/documents, ensuring they reach their intended recipient, and arrange documents and parcels to be despatched as instructed.
- Parking Slot Administration: Assist the Facilities Administrator in the administration of the parking slots allotted to management.
- Roaming Service Management: Activate/deactivate roaming services and maintain a register.
- Office Supplies Management: Check office supplies (pantry/stationeries) and order same when necessary.
- Bachelor's Degree: Bachelor's degree required.
- Corporate Reception Experience: 2+ years of experience as a corporate receptionist.
- Additional Certification: Additional certification in Office Management is a plus.
- Language Skills: Can speak/write English fluently. Knowledge of Arabic language is an advantage.
- Excellent Communication Skills: Excellent communication and interpersonal skills, ability to deal with people at all levels.
- Group Values: Uphold Group values as detailed in Subsea7 Management System.
- Proven Work Experience: Proven work experience as a Receptionist, Front Office Representative, or similar role.
- Microsoft Office Suite: Proficiency in Microsoft Office Suite.
- Communication Skills: Solid written and verbal communication skills (English and Arabic is a plus).
- Resourcefulness: Ability to be resourceful and proactive when issues arise.
- Organizational Skills: Excellent organizational skills.
- Multitasking: Multitasking and time-management skills, with the ability to prioritize tasks.
