Job Summary

We are seeking a highly skilled and organized Office Administrator and HSE Officer to join our team at Spark Techno Crafts LLC. The successful candidate will be responsible for managing and coordinating office administration and HSE duties and procedures, ensuring a smooth and efficient working environment.

Key Responsibilities
  1. Oversee general office operations, produce reports, correspondence, and draft new contracts.
  2. Create presentations and management-level reports.
  3. Supervise and maintain day-to-day office operations, ensuring a pleasant and productive work environment.
  4. Handle internal and external communication, including emails, phone calls, and correspondence.
  5. Manage and organize company documents, records, and files, including creating and maintaining filing systems.
  6. Organize and schedule meetings, prepare meeting agendas, and take minutes.
  7. Oversee administrative staff and delegate tasks as needed.
  8. Manage office supplies, equipment, and resources to ensure smooth workplace functioning.
  9. Implement and enforce company policies and procedures.
  10. Address administrative issues and solve problems as they arise.
Systems and Problem-Solving

The ideal candidate will have extensive systems knowledge and experience with office software packages, including email tools, spreadsheets, and databases. They will also possess strong problem-solving skills, including active listening, analysis, research, creativity, communication, decision-making, and team building.

Correspondence and Presentation

The successful candidate will have excellent written and verbal communication skills, with the ability to create engaging presentations and produce management-level reports. They will also possess strong negotiation skills and be able to work independently and within a team.Shipping and Customs

The candidate will have good knowledge of local and international shipping procedures, rules, and regulations, and be able to coordinate with shipping lines and overseas. They will also be able to track shipments, coordinate with courier companies, and negotiate prices.

HSE Responsibilities
  1. Support the Management in defining organization roles and responsibilities concerning safety aspects.
  2. Support the Management in HSE Management System standard policies.
  3. Ensure the implementation, updating, review, and auditing of Company HSE Systems.
  4. Monitor the effective implementation of Safety and Environment System procedures and provide for their updating in line with changes in legislation and company directives.
  5. Provide motivation and familiarization of all Company personnel respecting the importance of complying with Company system procedures and all Safety equipment provided.
  6. Assist the Commercial, Engineering, and Operations Department in all health and safety-related issues.
  7. Conduct safety audits both internal and external.
  8. Participate in accident/incident investigation.
  9. Carry out analysis of accident/incident statistics, identifying trends and suggesting improvement plans.
  10. Provide technical support to Senior Management on safety-related subjects.
  11. Conduct in-house safety training.
  12. Conduct safety audits on subcontractors.
Requirements
  1. A bachelor's degree or equivalent in Engineering.
  2. Three to five years of experience in office administration and HSE activities in a similar field in the UAE.
  3. Excellent computer skills, including proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
  4. Knowledge of office management responsibilities, systems, and procedures.
  5. Excellent time management skills and ability to multitask and prioritize work.
  6. Attention to detail and problem-solving skills.
  7. Strong organizational and planning skills.
  8. Knowledge of accounting, data, and administrative management practices and procedures.
  9. Knowledge of clerical practices and procedures.
  10. Knowledge of human resources management practices and procedures.
  11. Knowledge of business and management principles.
  12. Shipping procedures.
  13. Manage contracts and price negotiations.
  14. A creative mind with an ability to suggest improvements.
  15. Create presentations and produce management-level reports.
  16. Extensive knowledge of HSE procedures and local rules and regulations.
  17. Contract management.
  18. Practical knowledge of accounts.
