Job Responsibilities:

The HR Coordinator is responsible for managing employee records, processing visas, and ensuring compliance with HR policies and local labor laws.

Key Activities:

  1. Manage and update all staff records, tracking the employee lifecycle from recruitment to exit.
  2. Collect, verify, and upload all employee documents into the HR system, ensuring data accuracy and completeness.
  3. Update the employee database regularly to reflect any changes in employment status, contracts, and other relevant details.

Tasks & Deliverables:

  1. Coordinate the visa processing workflow, including document collection, verification, and uploading into the Visa Management System (VMS).
  2. Work closely with the Public Relations Officer (PRO) to monitor visa application statuses and follow up on any pending cases.
  3. Ensure timely renewal of visas, work permits, insurance, and related legal documentation in compliance with labor laws.
  4. Maintain a tracker for visa and medical insurance renewals and cancellations.

Onboarding Process:

  1. Ensure all new hires receive and sign their employment contracts in a timely manner.
  2. Follow up with employees regarding contract completion and submission.
  3. Coordinate with new joiners to facilitate medical tests and biometric registrations as part of the onboarding process.
  4. Handle new joiners' accommodation and logistics management.
  5. Maintain an up-to-date onboarding checklist and ensure all requirements are met before employees begin their roles.

Employee Monitoring:

  1. Track new joiners, leavers, and employees on the bench daily to ensure accurate workforce planning.
  2. Generate periodic reports on employee movements and provide insights to HR leadership.
  3. Support workforce forecasting by maintaining updated records on employee availability and contract status.
  4. Create a daily bench monitor and leave monitor and ensure that it matches with the time sheets received.
  5. Follow up with employees and ensure they utilize their leaves and maintain a minimal leave balance.

HR Compliance:

  1. Ensure all HR processes and employee records comply with the organization's HR policies and local labor laws.
  2. Regularly review employee files to ensure compliance with documentation standards.
  3. Assist in audits and inspections by providing necessary employee records and reports.
