About the Role

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at IIQAFGROUP. As an Office Assistant, you will play a critical role in ensuring the smooth operation of our office.

Key Responsibilities

  • Office Management: Organize and maintain a well-structured office environment, ensuring all necessary supplies and equipment are readily available.
  • Communication Coordination: Sort and distribute communications in a timely and efficient manner, ensuring all stakeholders are informed.
  • Record Keeping: Create and update accurate and reliable records, maintaining the integrity of our data.
  • Scheduling and Planning: Schedule and plan meetings, appointments, and events, ensuring seamless coordination.
  • Supply Chain Management: Monitor and manage office supplies, handling shortages and ensuring timely replenishment.
  • Problem-Solving: Identify and resolve office-related malfunctions and issues, providing effective solutions.
  • Interdepartmental Collaboration: Coordinate with other departments to ensure compliance with established policies and procedures.
  • Relationship Building: Foster trusting relationships with suppliers, customers, and colleagues, promoting a positive and collaborative work environment.
  • Receptionist Duties: Provide receptionist support as needed, ensuring a professional and welcoming atmosphere.

Requirements

  • Administrative Experience: Proven experience as a back office assistant, office assistant, or virtual assistant in a relevant administrative role.
  • Technical Skills: Knowledge of back-office computer systems (ERP software) and working knowledge of office equipment.
  • Office Management: Thorough understanding of office management procedures and excellent organizational and time management skills.
  • Analytical and Problem-Solving Abilities: Analytical abilities and aptitude in problem-solving, with excellent written and verbal communication skills.
  • Software Proficiency: Proficiency in MS Office and ability to learn new software applications.
