**Key Responsibilities**:
- **Calendar Management**:
- Schedule and coordinate appointments, consultations, and meetings for immigration consultants.
- Prioritize and organize daily agendas to ensure efficient use of time.
- **Client Communication**:
- Act as a liaison between clients and consultants, providing timely updates and information.
- **Document Preparation**:
- Ensure that all documentation is complete, accurate, and submitted on time.
- **Research and Information Gathering**:
- Conduct research on immigration policies, procedures, and changes that may affect clients.
- Compile relevant information and resources to assist consultants in case preparation.
- **Administrative Support**:
- Perform general administrative duties, such as filing, data entry, and maintaining client records.
- Manage office supplies and ensure a well-organized workspace.
- **Event Coordination**:
- Assist in planning and organizing client workshops, seminars, and outreach events.
- Handle logistics, including venue arrangements and material preparation.
- **Confidentiality and Compliance**:
- Maintain strict confidentiality regarding client information and sensitive documentation.
- Ensure compliance with immigration regulations and office policies.
**Qualifications**:
- **Education**: Bachelor’s degree in Business Administration, Immigration Law, or a related field preferred.
- **Experience**: Minimum of 3 of experience as a Personal Assistant or in an administrative role, preferably within an immigration consultancy or legal environment.
- **Skills**:
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and [any relevant software, e.g., case management systems].
- Familiarity with immigration processes and documentation is a plus.
- **Personal Attributes**:
- Proactive, self-motivated, and able to work independently.
- Ability to handle sensitive information with discretion and professionalism.
- Strong problem-solving skills and attention to detail.
- A positive attitude and a client-oriented mindset.
