Job Purpose

To provide high-quality vendor management and procurement services for the Procurement and Supply Chain Department and facilitate vendor management activities in order to support delivering required goods/services as per stakeholder expectations and needs at the University of Sharjah. In addition to supporting all aspects related to the selection and registration of vendors, as well as researching and identifying new and potential vendors, using effective and appropriate tools.

Main accountabilities & expectations
- Help create, develop and enhance the Strategic Sourcing Unit's processes and procedures, such as vendor registration and prequalification, and suggest improvements when needed in accordance with UoS bylaws, as well as the industry's standards and best practices.
- Facilitate the pre-qualification of suppliers for bidders lists in collaboration with other concerned team members within the Procurement and Supply Chain Department, and ensure that enterprise-wide needs for due diligence and risk assessments are implemented in order to develop an impartial, accurate and effective vendor selection process.
- Provide any required support related to the vendor prequalification process by identifying potential vendors who can deliver required goods/services per end-user expectations and needs.
- Review vendor prequalification submission documents, coordinate internally with the concerned stakeholders, Legal Affairs Department, Finance, etc., and ensure that all selected vendors align with stakeholder requirements and actual business needs.
- Prepare any necessary tracking and evaluating reports/surveys to help maintain and monitor maintain vendor performance evaluation. As well as address all vendor issues and report any matters of concern to the line manager.
- Administer supplier and vendor databases and other relevant information by creating, filtering, updating, and verifying contact details and purchases completed.
- Participate in supplier facilities visits to inspect the quality of supplies and assess their capabilities and make recommendations on possible improvements when needed.
- Collaborate with internal and external stakeholders on matters related to vendor onboarding processes and procedures in order to facilitate the flow of information while building awareness in relevant areas.
- Build good relations with current vendors and search the market for potential new sources for products and services in order to improve delivered value to end-users and diversify their options.
- Prepare various reports, analyses, and statistics related to the Strategic Sourcing Unit when requested by the line manager.

- Excellent oral and written communication skills and the ability to prepare professional documents in both Arabic and English.
- Ability to build and maintain strong relationships with key stakeholders.
- Ability to analyze quantitative and qualitative data, compare results, and draw conclusions.
- Demonstrates hands-on knowledge in the sector/industry ecosystem, value chain, and trends, including awareness of trends related to special interest groups or target audiences.
- knowledge of leading suppliers in the market for essential product and service categories, their commercial conditions, quality, service capability, brands, pre-and post-sales support.
- Excellent understanding of relevant key performance indicators and experience in setting vendor SLAs.
- Excellent interpersonal and customer services skills.
- Strong decision-making and negotiation skills.
- Excellent attention to detail and the ability to absorb a high volume of information.
- Analytical and critical thinking.
- Ability to work with diverse business units and quickly adapt and understand key business challenges.

- Self-motivated and the ability to work effectively under mínimal supervision.
- Ability to balance competing priorities to meet planned and unexpected objectives and deadlines.

Preferred Qualification & Experience
- Minimum of bachelor's in Business Administration, Supply Chain Management, or a relevant discipline.
- Professional qualifications in procurement and supply such as CIPS (Certificate in Procurement and Supply Operations), CSCP (Certified Supply Chain Professional), CLSCMP (Certified Logistics & SCM Professional), etc., are required.
- 6-8 years of UAE experience in a similar role, preferably in higher education institutions.
- Priority to UAE Nationals.
