**Overview**:
**Responsibilities**:

- **Administrative Support**: Provide administrative assistance such as managing calendars, scheduling appointments, arranging meetings, and handling correspondence.
- **Real Estate Assistance**: Assist real estate agents and brokers with various tasks including preparing listing materials, drafting contracts, coordinating property showings, and managing client communications.
- **Documentation Management**: Maintain organized filing systems for real estate documents, contracts, listings, and other paperwork. Ensure all documents are accurate, up-to-date, and easily accessible.
- **Client Communication**: Communicate with partners, vendors, and other stakeholders in a professional and courteous manner. Provide timely responses to inquiries and coordinate communication between parties involved in real estate transactions.
- **Database Management**: Input and update property listings, client information, and transaction details in real estate databases and software platforms. Ensure data accuracy and completeness.
- **Office Coordination**: Oversee office supplies, equipment, and facilities to ensure smooth daily operations. Coordinate office maintenance and repairs as needed.
- **Research and Analysis**: Conduct market research, property analysis, and competitive assessments to support real estate projects and decision-making processes.

**Requirements**:

- Proven experience as an Administrative Secretary or similar role, preferably in a real estate setting.
- Strong understanding of real estate terminology, processes, and procedures.
- Proficiency in office software such as Microsoft Office Suite (Word, Excel, Outlook), as well as real estate-specific software and databases.
- Excellent organizational skills with the ability to prioritize tasks and meet deadlines.
- Exceptional communication skills, both written and verbal, with a high level of professionalism.
- Detail-oriented with a focus on accuracy and thoroughness in all work tasks.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Flexibility to adapt to changing priorities and willingness to take on new challenges as needed.

**Education and Certification**:

- High school diploma or equivalent required; additional education or training in office administration or real estate management preferred.
- Certification or licensure in real estate administration or related field is a plus.
