Position Overview:
We are seeking a highly organized and proactive individual to join our team as an Office Assistant in our General Trading Company located in Dubai. As an Office Assistant, you will be responsible for providing essential administrative and support services to ensure the smooth and efficient operation of our office.
Key Responsibilities:
1. Office Maintenance: Maintain cleanliness and orderliness of the office premises, including reception areas, conference rooms, and common areas. Ensure supplies such as stationery, pantry items, and other office consumables are well stocked.
2. Reception Duties: Welcome visitors, clients, and employees with a professional and friendly demeanor. Answer phone calls, redirect inquiries, and take messages as required. Coordinate with relevant personnel to ensure proper assistance is provided to visitors.
3. Document Handling: Sort and distribute incoming mail and packages. Prepare outgoing mail and shipments. Assist with document filing, archiving, and retrieval, ensuring accuracy and confidentiality. Handle basic photocopying, scanning, and printing tasks.
4. Office Assistance: Support various departments with administrative tasks, including but not limited to data entry, scheduling appointments, organizing meetings, and maintaining calendars. Assist in preparing presentations, reports, and other documents as needed.
5. Office Supplies Management: Monitor and maintain inventory levels of office supplies, including stationery, pantry items, and equipment. Place orders and liaise with suppliers to ensure timely delivery. Keep track of expenses related to office supplies and maintain relevant records.
6. Team Support: Collaborate with colleagues to provide support and assistance when required. Foster a positive and collaborative work environment by maintaining effective communication and assisting with team-building activities.
7. Compliance and Safety: Adhere to company policies and procedures, ensuring compliance with relevant regulations. Maintain a safe and secure work environment by following health and safety protocols and reporting any incidents or hazards promptly.
Qualifications and Skills:
- High school diploma or equivalent qualification.
- Proven experience in a similar role or willingness to learn and take on new responsibilities.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong verbal and written communication skills in English; knowledge of additional languages is a plus.
- Proficiency in using office equipment, including printers, scanners, and photocopiers.
- Demonstrated professionalism, discretion, and ability to maintain confidentiality.
- Strong interpersonal skills and a customer service-oriented mindset.
- Ability to work independently with mínimal supervision and as part of a team.
**Salary**: AED1,000.00 - AED3,000.00 per month
