Prime Wellness Training Institute Center is seeking an Office Manager with 2 years experience in the Training Institute to oversee administrative operations and ensure the smooth functioning of our facility. The Office Manager will play a pivotal role in maintaining organizational efficiency, managing administrative tasks, and providing exceptional support to staff, clients, and visitors.
**Responsibilities**:
**Administrative Management**:
- Oversee daily administrative operations, including managing schedules, coordinating meetings, and handling correspondence.
- Maintain office policies and procedures, ensuring compliance with company standards.
- Develop and implement efficient filing systems to facilitate organization and retrieval of documents.
**Office Logistics**:
- Manage office supplies inventory and place orders as necessary.
- Coordinate facility maintenance and repairs, ensuring a safe and functional working environment.
- Liaise with vendors, contractors, and service providers to address facility-related issues promptly.
**Financial Management**:
- Assist with budgeting, expense tracking, and financial reporting.
- Process invoices, expense reimbursements, and payroll in a timely manner.
- Collaborate with accounting personnel to reconcile accounts and resolve discrepancies.
**Human Resources Support**:
- Assist with recruitment efforts, including posting job vacancies and scheduling interviews.
- Maintain employee records, including attendance, leaves, and performance evaluations.
- Facilitate new hire onboarding and training processes.
**Client and Visitor Relations**:
- Serve as the primary point of contact for clients, visitors, and vendors, providing courteous and professional assistance.
- Coordinate appointments, tours, and meetings, ensuring a positive experience for all visitors.
- Address inquiries and resolve issues promptly, demonstrating excellent communication and interpersonal skills.
**Data Management and Reporting**:
- Maintain accurate records and databases, including client information, attendance logs, and facility usage.
- Prepare regular reports on key metrics and performance indicators for management review.
**Compliance and Quality Assurance**:
- Ensure compliance with regulatory requirements, industry standards, and company policies.
- Implement quality assurance measures to uphold service excellence and customer satisfaction.
**Qualifications**:
- Bachelor's degree in Business Administration, Management, or related field preferred.
- Proven experience in office management or administrative roles, with a track record of success.
- Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills, with a keen attention to detail.
- Knowledge of basic accounting principles and experience with financial management tasks.
- Ability to work independently, exercise sound judgment, and handle confidential information with discretion.
- Prior experience in healthcare, wellness, or training industry is a plus.
**Salary**: AED5,000.00 - AED6,000.00 per month
