Job purpose:

- To co-ordinate travel, visa and transit accommodation requirements for HRMS global operations.
- Ensure travellers and bookers experience high quality service with relation to the fulfilment of travel related requirements.
- Complete administration support required as directed by the Travel Manager.
- Help ensure that the Company fulfils its travel & duty of care requirements within the region and that travellers are compliant with Travel Security & Health Policy and Travel Policy is adhered to.

Role Task & Responsibilities:

- Travel Co-ordination (including accommodation and ground transport) for designated areas of the business - ensuring travel is booked compliantly with the Travel Security & Health and Travel Purchasing policies.
- Provide visa expertise. Ensure swift and accurate processing of employees and contractor visas, enabling the company to succeed in meeting challenging operational demands.
- Support to fare benchmarking of airline deals and accommodation.
- Key focus on ensuring visitors’ personal risks assessment are completed and approved.
- Ensure travellers adherence to entry restrictions and with obtaining of relevant documentation. This includes but is not restricted to visas, proofs of insurance, airline OK to Board documents and government entry documentation.
- Ensure ISOS travel tracker updates are accurate.
- Quality Control and Cost allocation. Ensure Travel Suppliers have invoiced correctly, in a timely manner, with all relevant information provided in the fortnightly and monthly statement to ensure swift and accurate cost allocation.
- Maintain all Travel related documents and complete administration duties.
- Ad hoc support as needed by the Travel Manager.
- Prioritising a high workload and working to tight deadlines.
- Willingness to work under pressure and extended hours when required.

**Requirements**:

- Educated to Degree level.
- Minimum experience of 3 years in business travel bookings either in-house or agency.
- Good understanding of fares and booking process.
- Proficiency and knowledge of MS Office (Word, Excel, Outlook) is a must.
- High level of Geographical knowledge.
- Expert in Visa administration with eye for details.
- Ability to organize and prioritize workload.
- Effective and confident communicator.
- Preferred to have worked in travel with off-shore businesses.
