Administrative Assistant

The Administrative Assistant will provide administrative support to the designated team while also assisting in personal tasks for designated executives. This role involves managing office operations, coordinating meetings and appointments, handling correspondence, and providing personalized assistance to executives to ensure smooth workflow and efficient time management.
**Key Responsibilities**:
- Maintain office filing systems, databases, and records, ensuring accuracy and confidentiality.
- Coordinate travel arrangements, including booking flights, accommodations, and transportation.
- Prepare and distribute documents, reports, and presentations as requested.
- Support HR department with administrative related tasks
- Provide personalized support to designated executives, including managing calendars, scheduling appointments, and organizing meetings.
- Handle personal errands and tasks for executives, such as booking appointments, arranging family events, and managing personal correspondence.
- Anticipate needs and proactively assist management in managing their time and priorities.
- Oversee Pantry/ office stationary supplies inventory and procurement, ensuring adequate stock levels and cost-effectiveness.
- Coordinate office maintenance and repairs, liaising with vendors and service providers as needed.
- Maintain cleanliness and organization of office spaces to create a conducive work environment.
- Schedule and coordinate meetings, conferences, and events, including room bookings, catering arrangements, and audiovisual setup.
- Prepare meeting agendas, take minutes, and distribute follow-up actions to attendees as required.
- Act as a liaison between management and internal/external stakeholders, confirming appointments and providing necessary information.
- Draft and proofread correspondence, reports, and presentations on behalf of Management, ensuring accuracy and professionalism.
- Screen incoming calls and visitors, redirecting them appropriately or providing assistance as necessary.
- Handle sensitive and confidential information with discretion and confidentiality.
Qualifications and Skills:
- Bachelor's degree in business administration, or related field preferred.
- 2-3 years Proven experience in administrative or executive support roles, preferably in a fast-paced environment.
- Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal abilities, with a professional demeanor.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and office management software.
- Discretion and confidentiality when handling sensitive information and personal matters.
- Attention to detail and accuracy in documentation and correspondence.
- Ability to work independently with mínimal supervision while also being a team player.
- Flexibility and adaptability to changing priorities and deadlines.
Fluency in English
Arabic is a plus.
**Education**:
- Bachelor's (preferred)
**Experience**:
- Accounting: 3 years (preferred)
- external financial auditing activities: 2 years (preferred)
