**Position - Order Desk Executive**
Internationally, the world market leader in musical instruments, commercial / home audio products and music education is seeking a Supply Chain Executive (Order Desk/ PSI- Purchase, Sales, Inventory).
Reporting to the Supply Chain Manager and based in our JAFZA office, this position is responsible for activities relating to processing of Sales Orders on day-to-day basis.
**Order Desk Executive**
- Ensuring the accuracy of processing of orders
- Effectively Processed Order Confirmations from customers and liaised with other departments where necessary.
- Ensuring the smooth flow of the order processing and accuracy of the documents Invoice, Packing list, Certificate of Origin, Bill of lading.
- Ordered stock form suppliers to fulfil customer demand. Follow-up back orders with suppliers and push for the delivery.
- Prepare purchase orders (POs)/Order Confirmation, create Requisitions, Proforma Invoices and ensuring all necessary details are included.
- Prepared and deliver appropriate presentations on products.
- Deal with customer relations and routine upkeep of the business.
- Ensured supply of materials on time to effectively meet production schedules and deadlines.
- Reviewed purchase orders and shipping documents such as invoice, COO, packing list and letter of credit to ensure accuracy.
- Ensuring customer satisfaction by quality communication with Clients and other business partners
**Supply Chain Management**
- Conducted regular inventory counts and reconciled discrepancies to maintain inventory accuracy.
- Ensures that all inventory and stock management systems are maintained and updated accurately.
- Ensure availability of material at the right time for a smooth and uninterrupted operation across the company.
- Strong knowledge of imports and export documentations, customs formalities, Incoterms, HS codes, COO and letter of credit.
- Negotiating with the shipping lines for the competitive rates & Services
- Follow up with shipping companies for AWB or B/L and vessel arrival.
- Document all material returned from customers, troubleshoots and resolved issues related to supply of products.
- Maintained all documents related to Supply Chain Processes in accordance with the company’s quality requirements.
- Collaborated with custom clearing agents and freight forwarding agencies for clearances / timely transportation.
- Facilitated logistics processes for clients which included, booking shipments, tracking cargo and ensured timely delivery.
- Verified and confirmed that all shipments comply with local customs regulations and international trade laws.
- Resolved shipping related issues such as delays, damages or missing cargo. Equally worked closely with client to find solutions and prevent recurring problems.
**Reporting**
- PSI planning
- category wise forecasting to ensure order fulfilment reports.
- Assist the Sales team in preparing and consolidating the monthly Sales reports (Customers, by Product Category wise).
- Generated daily and monthly Purchase, Sales and inventory reports.
Core Competence:
- Minimum of a Degree Qualification
- At least 2- 4 years’ experience in a similar role
- Advanced computer skills in Microsoft Office including Excel, Outlook and PowerPoint; testing will be administrated prior to final interview
- Knowledge and understanding of INCOTERMS
- Ability to multi-task several customers inquires and their transactions at the same time
- Good analytical skills
- Proactive, professional and can build strong business relationships with clients/ customers
- Excellent oral and written communication skills in English.
- Work independently as well as in a team work,
- Preferably worked with varied payment terms including Letter of Credit (LC).
Pay: AED5,000.00 - AED7,000.00 per month
