New York University Abu Dhabi (NYUAD) seeks to appoint Community Outreach Coordinator reporting to Head of Community Outreach.

The coordinator will play an essential role in supporting the creation of pathways for students to engage ‘in and of Abu Dhabi’. They support the building of mutually beneficial community partnerships and assist in co-creating volunteer, service, and educational opportunities that help students engage deeply with the eclectic population of the UAE, and shape students’ understanding of how they will shape and contribute to the communities they will be part of in the future.

This position will be responsible for the day-to-day management of all administrative and operational functions of the Community Outreach department. The coordinator will execute outreach and service-learning programs in Abu Dhabi with focus areas that include environmental conservation, inclusion/people of determination, and youth empowerment.

This position requires a high degree of initiative, attention to detail, and the ability to work quickly and efficiently, particularly during busy times during the academic year.

**Key Responsibilities**:
Administrative Management
- Serve as a source of information to the department staff and student assistants on policies, procedures, and administrative procedures, as needed
- Respond to general inquiries and resolve routine administrative challenges
- Manage staff travel and meeting logistics (in-person and virtual), interfacing with other stakeholders as needed
- Create and document workflow procedures and guidelines to ensure maximum efficiency
- Support the department with various administrative tasks to support the management of the Sufara’a (Student Assistants) and Student Interest Groups (SIG) networks
- Assist in supervising Students by tracking work hours, documenting performance evaluations, conducting training, or assigning projects
- Maintaining a calendar of community outreach activities, including programs, events, workshops, and conferences
- Managing the organization of the Community Outreach storage room

Event Management
- Take a lead role in managing small and large-scale events (i.e. meetings, talks, events, workshops, conferences etc.)
- Provide support and oversee all event logistics, including space booking, catering, A/V, set-up/breakdown, and travel/transportation coordination, as needed
- Liaise with vendors, exhibitors, stakeholders, and various NYUAD departments (such as facilities, procurement, and finance) during event planning to ensure seamless coordination
- Process requests to issue event licenses or permits for events, as per UAE law and NYUAD policy

Budget Tracking and Financial Management
- Point of contact for all financial processes and reporting systems (POs, invoicing, p-card receipts, and reimbursements)
- Monitor and track department monthly expenditures
- Participate in the annual budget planning activities
- Coordinate budget tracking activities to support the preparation of internal reports for senior management, as needed

Communications
- Serve as a resource for faculty, staff, and students in sharing information on the department’s programs and upcoming events.
- Assist with seamless communication between the department and the NYUAD community engagement stakeholders to support university-wide interdisciplinary outreach
- Represent the department at various NYUAD committees and help further identify alignment and collaboration opportunities
- Screen and evaluate incoming correspondences to the general community outreach inbox and prepare responses as appropriate
- Strategically identify engaging content for the Community Outreach Newsletter
- Routinely update the Community Outreach webpage and internal intranet portal pages
- Assist with the content delivery of communications with external stakeholders as well as university-wide marketing for hallmark Community Outreach programs (i.e autism conference and BEN/GEN leadership program)

Reporting and Data Management
- Improve systems for tracking and monitoring department activities, data archiving and reporting to increase accuracy and efficiency
- Maintain and archive documents with effective filing systems on the shared Drive
- Maintain inventory of community outreach materials and office supplies
- Create and update spreadsheets, databases, and datasets
- Collect data to support periodic Student Affairs activities such as the Annual Planning Report (APR), leadership strategic plans, and university-wide impact evaluations
