Automotive Administrative Assistant

The Automotive Administrative Assistant provides comprehensive administrative support to the automotive department within a company or organization. This role involves handling various administrative tasks, coordinating communications, and assisting with the smooth functioning of daily operations in the automotive department.
**Key Responsibilities**:
**2. Data Management**: Maintain and update databases, spreadsheets, and other relevant records, ensuring accuracy and confidentiality.
**3. Document Preparation**: Draft, format, and proofread documents, reports, presentations, and correspondence related to automotive operations.
**4. Filing and Organization**: Manage electronic and physical filing systems, ensuring documents and records are appropriately organized and easily accessible.
**5. Communication Coordination**: Facilitate effective communication within the automotive department and with external stakeholders, including customers, suppliers, and other departments.
**6. Meeting Coordination**: Schedule and organize meetings, conferences, and travel arrangements for automotive department staff, ensuring all logístical details are handled efficiently.
**7. Inventory Management**: Assist in managing inventory levels of automotive supplies, parts, and equipment, coordinating with suppliers and ensuring timely reordering.
**8. Budget Support**: Assist in budget preparation and monitoring, tracking expenses, and maintaining financial records.
**9. Customer Service**: Provide exceptional customer service by answering inquiries, resolving complaints, and maintaining positive relationships with customers.
**Requirements**:
- High school diploma or equivalent; additional education or certification in administration or automotive management is a plus.
- Proven experience as an administrative assistant or in a similar role, preferably within the automotive industry.
- Proficiency in MS Office (Word, Excel, PowerPoint) and familiarity with database management systems.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong attention to detail and accuracy in data entry and record-keeping.
- Effective communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels.
- Ability to handle confidential information with discretion and maintain a high level of confidentiality.
- Strong problem-solving skills and the ability to work independently or as part of a team.
- Knowledge of automotive terminology, industry trends, and basic understanding of automotive operations is an asset.
- You must be speaking, reading, and writing English.
- You must be speaking Arabic (reading and writing Arabic is a plus).
