Dubai, United Arab Emirates Emirates Flight Catering Full time

**Job Purpose**:
Provide administrative and basic paralegal support to the Legal Affairs team for all of the core businesses of Emirates Flight Catering, it subsidiaries, and its joint venture companies.

**Key Result Areas**:
1.Keep informed of all legal and regulatory changes that may affect the business across all areas, track amendments to internal policies and amend templates to reflect those changes.

2.Review and analyse documents provided from within the business to the legal department in order to interpret/advise/initiate legal discussions. This includes an understanding of a variety of legal contracts and agreements.

3.Draft and amend contracts, agreements, letters and legal notices as directed by a member of the Legal Affairs team.

4.Appear at various internal forums for imparting legal awareness training and advising on legal issues.

5.Assist with research on legal matters including contacting relevant authorities to gather information, feedback or confirmation on legal and regulatory queries.

6.In relation to the Insurance portfolio of the Legal Affairs department, maintain all essential insurance documentation *' including but not limited to premiums, policies, certificates and claims data.

7.Act as the principal liaison with insurance provider(s) for matters relating to policies, risk assessments and claims in collaboration with internal departments.

8.In relation to the Company Secretarial portfolio of the Legal Affairs department, maintain all essential corporate documents and coordinate any new documents with Emirates, the Notary and other relevant Government entities, as applicable.

9.Proactively follow up and ensure that all joint venture company's licenses and permits are valid and consistent with all local rules and regulations.

10.Manage the work schedule of the Legal Affairs team including maintaining trackers of open items, meeting agendas and/or minutes, and any other general administrative tasks as directed to assist the Legal Affairs team in their day-to-day activities and stakeholder meetings

11.Utilize the department Contract Lifecycle Management (CLM) system to manage matters and contracts including inputting data, tracking contract amendments, revisions, and versions, maintaining an organized and up-to-date repository of contract documents, monitor contract deadlines and Service Level Agreements (SLA) and proactively alert relevant team members and stakeholders of approaching key dates, generate reports and extract data from the CLM tool to provide insights into contract status, performance, and trends for team/management review.

12.Develop and maintain Excel spreadsheets to track costs including but not limited to external legal spend, insurance premiums, company secretarial-related costs, IT spend, and any other departmental expenses for budget control, preparation and reporting purpose.

13.Assist with designing PowerPoint presentations and materials for meetings, training, and presentations, as required.

**Education Qualification**:
Bachelor*s degree in business administration or related field. (mandatory)

Legal or business administration certificate from a recognised higher education institution (preferred)

**Work Experience**:
In administration, preferably legal in nature and in a large organisation with a large volume of work.

Minimum 2 years* experience in a corporate group, preferably an in-house legal department or law firm. Previous UK, UAE or other GCC country experience will be an advantage.

Previous use of Contract or Case Lifecycle Management (CLM) or similar automated tools will be an advantage.

**Skills**:
Specialised knowledge and experience of handling Legal Affairs matters

Excellent command of Microsoft office, specifically Excel, Word, and PowerPoint.

Excellent time management, organisational and interpersonal skills.

Flexible, resilient and adaptable, in order to manage changing priorities in high volume work environments.

Excellent English language written and verbal communication skills.

Ability to work both independently and in a collaborative team setting.
