Executive Secretary to The President

**Aufgaben**:
As the Executive Secretary to the President & CEO & CFO, you will be ensuring smooth day-to-day operations of the CEO Office by performing a wide variety of tasks ranging from administrative, organizational and scheduling support to handling communication requirements and liaising with internal and external parties.
You will be carrying out tasks in a consistent, accurate, and structured manner, while working autonomously and reliably. The ability to work efficiently to meet tight deadlines, to anticipate challenges and to proactively solve problems is key for success in this role.
In addition, this position requires discretion, tact and diplomacy as well as strong interpersonal skills and the drive to deliver excellent customer service. A basic understanding of the automotive industry as well as business processes is the foundation for carrying out business administration tasks.
**Qualifikationen**:
Office Management & Communication
- Manages the CEO and CFO’s diary by effectively scheduling and coordinating meetings, appointments, and other engagements
- Coordinates business requirements for CEO and CFO approvals and signature
- Oversees Board Room bookings and ensures functional and tidy condition of the Board Room
- Manages purchase requests and related tasks for the CEO office & Legal
- Handles electronic data management and paper filing
- Completes miscellaneous administrative tasks for the CEO office
- Supports CEO and Business Development Manager in various project-based initiatives
- Monitors and checks CEO’s departmental budget
- Organizes events for the Mercedes-Benz General Distributors Network (MBGD Conference, Owners Meeting, Product Forum and International Sales Meeting).
- Organizes company internal events/workshops dedicated to MBCME employees
- Supports cross-functional tasks and projects for the CEO and the MBGD ExCom
- Liaises with internal and external parties on behalf of the CEO and CFO
- Regularly aligns and fosters exchange with all departmental secretaries
- First point of contact for all matters related to the CEO from our network
Travel & Hospitality
- Makes CEO and CFO business travel arrangements, including transportation, accommodation and travel agenda
- Submits CEO and CFO expense claims and relevant documentation
- Prepares visits of CEO and CFO guests and ensures appropriate hospitality
- Handles needed bookings for CEO and CFO out-of-office business related activities, such as restaurant reservations
Business Administration
- Prepares and distributes meeting agendas with the input from relevant stakeholders
- Compiles and produces briefing folders in a suitable format
- Prepares reports and presentations
