**Job Description**:
Responsibilities include:
- Provide administrative support to the sales and operations team
- Act as the first point of contact for clients, responding to queries, and scheduling appointments.
- Coordinate and schedule site inspections and testing with clients
- Prepare quotations and invoices on behalf of the organization according to established pricing guidelines
- Maintain accurate appointment and invoice records in a client information management system
- Manage various office tasks, such as mail, filing, and supply inventory.
- Liaison with clients regarding invoices and accounts receivable.
- Provide administrative assistance on special projects as required.
**Requirements**:
- High school diploma or equivalent; advanced degree or certification in business administration is preferred.
- Demonstrated experience in administrative tasks including scheduling, preparation of documents, and reporting.
- Familiarity with computerized accounting programs and coordinating with clients.
- Ability to work independently, multi-task, and prioritize accordingly.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite, especially Excel.
