Purchasing & Logistics Assistant

**Role purpose**:
The Purchasing and Logistics Assistant plays a pivotal role in ensuring the smooth operation of procurement and logistics functions within our organization. Acting as a liaison between suppliers, freight forwarders, and internal departments and ensuring seamless communication to optimize procurement and logistics functions.
**Key accountabilities**:
- Initiating inquiries and conducting follow-ups with overseas suppliers.
- Standardizing the creation of part numbers.
- Promptly acknowledging order confirmations from suppliers.
- Coordinating with suppliers to ensure on-time delivery.
- Inquiring about rates and transit times with freight forwarders.
- Coordinating between suppliers and freight forwarders regarding agent details and timely collection of goods from the origin.
- Monitoring and maintaining comprehensive tracking sheets for all shipments, documenting pertinent details for each.
- Updating the ERP system with delivery times for purchase orders and providing the sales team with estimated time of arrival for pending sales orders.
- Arranging necessary documentation such as MOFAIC and COO as per the requirements
- Fulfilling additional tasks as assigned by management
**Other responsibilities**:
- Perform other duties related to purchasing and logistics and replace colleagues as required.
**Required Experience**:
- 3 years of experience in purchasing and logistics.
- Strong analytical and communication skills.
- Proactive and motivated, able to work independently and demonstrate initiative.
**Required Qualifications**:
- Bachelor's degree in business, supply chain management, or a related field.
- Proficiency in Microsoft Excel.
- Any advanced training or certification in purchasing and logistics.
