The Operations Coordinator, reporting to the Service Manager, is responsible for providing comprehensive administrative support and ensuring smooth operations within the organization. This role involves managing various administrative tasks, coordinating shipping and customs processes, overseeing inventory management, assisting with workshop activities, and providing financial support. The Operations Coordinator will collaborate with different teams and stakeholders to ensure efficient and effective execution of duties.

**What you’ll bring**:

- 1-2 years of related industry experience preferred.
- Experience in preparing a variety of shipment documents while considering UAE customs rules (specifically Jebel Ali Free zone customs).
- Experience negotiating and purchasing.
- Experience with ERP systems is considered an asset.
- Knowledge in audits of stock and purchasing is considered an asset.
- Good knowledge of Microsoft Office including Word, Excel, and PowerPoint

**What you’ll do**:

- Create, track, and manage vendor/supplier purchase orders.
- Manage inventory, including documentation, tracking, and regular audits.
- Prepare Air Waybills (AWB) for shipping and importing when necessary.
- Manage incoming and outgoing customs bills and prepare Jafza and Customs Gate passes.
- Track temporary exits related to rentals for customs purposes.
- Assist in arranging 3rd party inspectors, collaborating with local machine shops.
- Support facility calibration work when required.
- Generate shipping documents for sales and rental orders.
- Unpack and pack equipment orders, while performing quality checks for damage, rust, and quantities.
- Assist in managing financial records, including supporting invoicing and receiving completed purchase orders for forwarding to accounts.
- Maintain quantities and cleanliness of 3rd party personal protective equipment (PPE) for the workshop.
- Maintain office, pantry, and workshop supplies.
- Perform other duties as assigned.
