**JOB DESCRIPTION: Finance & Administration Manager**

Reporting to: General Director

Key relationships: General Manager, Internal team members, International team members, Board, Auditors, CFO, External partners.

The Finance & Administration Manager is responsible for the smooth and efficient running of the back-office operations, the effective control of its financial and human resources, and of the administrative systems, in order to contribute to the delivery of the company’s overall commercial objectives.

Responsibilities include (but are not limited to):
Key Objectives and Responsibilities:

- Manage the Company’s financial affairs, and ensure that the most efficient and effective financial control systems and reporting mechanisms are in place.
- Prepare monthly and quarterly management accounts and projections and other relevant reports, in consultation with the General Director and other management departments.
- Prepare the year-end financial accounts for audit and liaise with the auditors prior to sign-off.
- Manage all purchase invoices, sales invoices, payments, receipts and reimbursements.
- Supervise regular salary payments and records, in accordance with local laws and regulations.
- Coordinate with sales staff on producing timely reporting.
- Coordinate with International partners on timely collection of reports.
- Manage in coordination with sales staff, all payment collections on outstanding receivables.
- Liaise with local Revenue Services, Customs Services and other institutions as is required by law.
- Ensure that local and foreign taxes, are fully understood and that these are complied with.
- Deal with the company’s bank in respect of payments and receipts, foreign currency rate and other internal matters. Ensure that all bank accounts and credit card statements are regularly reviewed and reconciled.
- Efficiently manage all external contracts, and ensure that all the Company’s expenditure is correctly authorised and accounted for.
- Ensure the overall smooth running of the Company’s internal administration and its cost-effectiveness.
- Manage, in conjunction with the General Director, staff contracts, HR matters and general office maintenance.
- Ensure that the Company’s legal responsibilities are met, in particular that all necessary insurance is properly in place.
- Be responsible for Data Protection, registration, compliance and fees.

PERSON SPECIFICATION

Part One: Experience and Qualifications
- Accounting qualification and post-qualification experience. (2 Years Minimun Experience)
- Successful track record of managing operations and financial and management accounting.
- Experience of managing staff and associated employment issues.
- Previous experience in the financial and administrative operations of a complex organization.
