Roles and responsibilities

The Assistant Manager –Procurement plays a key role in managing sourcing activities,developing category plans, and ensuring procurement aligns withbusiness needs. Reporting to the Manager – Procurement,this role independently handles tenders, supports the developmentof sourcing strategies, and drives procurement initiatives toachieve cost savings, mitigate risks, and enhance supplierperformance. The Assistant Manager collaborates with stakeholdersacross the business to ensure efficient procurement execution andcontinuous improvement of processes.

JobDescription

1.Develop and executesourcing strategies for assigned categories to align with businessobjectives.

2.Lead end to end tender processes,including supplier identification, RFx development, bid evaluation,and contract negotiation.

3.Conduct detailedspend analysis and market research to identify cost savingopportunities and inform categoryplans.

4.Support the development of categorystrategies by gathering data on spend trends, supplier performance,and market conditions.

5.Collaborate withbusiness units to understand procurement requirements and translatethem into actionable sourcing plans.

6.Managesupplier relationships, ensuring performance meets agreed KPIs andSLAs, and drive continuous improvementinitiatives.

7.Identify and address risks in thesupply chain, implementing mitigation strategies to protectbusiness operations.

8.Ensure procurementprocesses adhere to policies, compliance standards, and bestpractices.

9.Track and report on key procurementmetrics, such as cost savings, supplier performance, andcompliance.

People Management

1. Provide guidance and mentoringto junior team members, helping to develop their procurement skillsand expertise.

2.Foster strong collaborationacross internal teams to align on procurement initiatives andensure smooth project execution.

3.Coordinatewith cross-functional stakeholders to manage procurement activitiesand resolve issues promptly

Functional/TechnicalCompetencies

Strong understandingof strategic sourcing, category management, and tenderingprocesses.

Analytical skills to conduct spendanalysis, supplier assessments, and marketbenchmarking.

Proficiency in contract negotiationand supplier performance management.

Experiencewith procurement systems and ERP platforms for managing sourcingactivities and procurement data.

Knowledge ofprocurement policies, compliance frameworks, and risk managementstrategies.

3. SupplierRelationshipManagement

  • BuildingSupplier Partnerships: Developing and maintainingstrong relationships with suppliers to ensure reliability, quality,and timely deliveries.
  • SupplierPerformance Monitoring: Tracking supplierperformance, addressing any issues related to quality, delivery, orpricing, and working towards continuousimprovement.
  • ConflictResolution: Handling supplier disputes or issues ina professional and constructive manner to maintain a positiveworking relationship.

4.NegotiationSkills

  • PriceNegotiation: Assisting in negotiating pricing termsand conditions to ensure the best possible deals for theorganization.
  • ContractTerms: Negotiating favorable contract terms, such aspayment schedules, delivery timelines, and warranties, to mitigaterisks and ensure smoothtransactions.
  • Problem-Solving:Addressing any negotiation challenges with suppliers and workingtowards mutually beneficialsolutions.

5. SupplyChain and InventoryManagement

  • InventoryControl: Assisting in managing inventory levels toensure that there is no overstocking or stockouts, optimizing theflow of materials andgoods.
  • DemandForecasting: Collaborating with other departments toforecast demand and plan procurement needs accordingly, ensuringtimely availability of goods andmaterials.
  • LogisticsCoordination: Ensuring that goods are delivered ontime and in accordance with agreed terms, coordinating logisticsand transportation needs.

6.Compliance and RiskManagement

  • RegulatoryCompliance: Ensuring that procurement practicescomply with relevant laws, regulations, and internal policies,including health and safety, ethical sourcing, and environmentalstandards.
  • RiskMitigation: Identifying potential procurement risks,such as supplier delays, quality issues, or geopolitical factors,and developing strategies to mitigate theserisks.
  • Audit andReporting: Assisting in audits of procurementactivities and ensuring accurate and transparent reporting ofprocurement processes.
