Assistant Manager Procurement

The Assistant Manager –Procurement plays a key role in managing sourcing activities,developing category plans, and ensuring procurement aligns withbusiness needs. Reporting to the Manager – Procurement,this role independently handles tenders, supports the developmentof sourcing strategies, and drives procurement initiatives toachieve cost savings, mitigate risks, and enhance supplierperformance. The Assistant Manager collaborates with stakeholdersacross the business to ensure efficient procurement execution andcontinuous improvement ofprocesses.
JobDescription
- Develop and execute sourcingstrategies for assigned categories to align with businessobjectives.
- Lead end to end tender processes,including supplier identification, RFx development, bid evaluation,and contract negotiation.
- Conduct detailedspend analysis and market research to identify cost savingopportunities and inform categoryplans.
- Support the development of categorystrategies by gathering data on spend trends, supplier performance,and market conditions.
- Collaborate withbusiness units to understand procurement requirements and translatethem into actionable sourcing plans.
- Managesupplier relationships, ensuring performance meets agreed KPIs andSLAs, and drive continuous improvementinitiatives.
- Identify and address risks in thesupply chain, implementing mitigation strategies to protectbusiness operations.
- Ensure procurementprocesses adhere to policies, compliance standards, and bestpractices.
- Track and report on key procurementmetrics, such as cost savings, supplier performance, andcompliance.
PeopleManagement
- Provideguidance and mentoring to junior team members, helping to developtheir procurement skills and expertise.
- Fosterstrong collaboration across internal teams to align on procurementinitiatives and ensure smooth projectexecution.
- Coordinate with cross-functionalstakeholders to manage procurement activities and resolve issuespromptly
Functional/TechnicalCompetencies
Strong understanding of strategicsourcing, category management, and tenderingprocesses.
Analytical skills to conduct spendanalysis, supplier assessments, and marketbenchmarking.
Proficiency in contractnegotiation and supplier performancemanagement.
Experience with procurementsystems and ERP platforms for managing sourcing activities andprocurement data.
Knowledge of procurementpolicies, compliance frameworks, and risk managementstrategies.
1. Procurement Planning andStrategy
- Assistin Developing Procurement Strategy: Support thedevelopment and execution of procurement strategies that align withthe organization's goals, ensuring that the companysecures the best value for itspurchases.
- Forecasting andBudgeting: Assist in forecasting procurement needsbased on business requirements and prepare procurement budgetsaccordingly.
- SupplierRelationship Management: Help maintain strongrelationships with suppliers and vendors to ensure smoothprocurement processes and build long-termpartnerships.
- MarketResearch: Conduct market research to identifypotential suppliers, evaluate market trends, and stay updated onindustry practices.
2.Sourcing and SupplierSelection
- SupplierIdentification and Selection: Assist in identifyingand evaluating potential suppliers to ensure they meet quality,cost, and deliveryrequirements.
- SupplierNegotiation: Support negotiations for pricing,terms, and delivery schedules, ensuring favorable terms for theorganization.
- TenderingProcess: Assist in managing the tendering processfor large procurement projects, including preparing tenderdocuments, issuing requests for proposals (RFPs), and analyzingresponses.
- ContractManagement: Assist in drafting, reviewing, andmanaging contracts to ensure compliance with organizationalstandards and legal requirements.
3.Purchasing and OrderManagement
- PurchaseOrder Management: Assist in managing purchaseorders, ensuring that the orders are processed accurately anddelivered on time.
- InventoryManagement: Monitor inventory levels, ensuring theorganization has adequate supplies and materials withoutoverstocking.
- OrderExpediting: Follow up with suppliers and vendors toexpedite delayed orders and ensure that the required materials orservices are deliveredpromptly.
- Order Tracking andDocumentation: Keep accurate records of allprocurement activities, including purchase orders, invoices, andsupplier communications.
4.Vendor and Supplier PerformanceManagement
- SupplierPerformance Evaluation: Assist in monitoring andevaluating supplier performance against agreed-upon KPIs (e.g.,delivery times, product quality, servicestandards).
- ResolveIssues: Address any issues or disputes withsuppliers related to quality, delivery delays, or contractualmatters.
- ContinuousImprovement: Work with suppliers to identifyopportunities for cost reduction, process improvement, and enhancedproduct offerings.
5.Compliance and RiskManagement
- EnsureCompliance: Ensure all procurement activities adhereto the company's policies, procedures, and industryregulations (e.g., environmental standards, laborlaws).
- RiskManagement: Assist in assessing potential risks inthe procurement process, such as supply chain disruptions, and workto mitigate these risks.
- DocumentControl: Ensure that all procurement documents areproperly maintained, secured, and in compliance with internalaudits and legal requirements.
6.Team Collaboration andCommunication
- Cross-FunctionalCollaboration: Work closely with other departmentssuch as Finance, Operations, and Legal to ensure smooth procurementand supply chainoperations.
- Internal StakeholderCommunication: Communicate with internalstakeholders to understand their needs, ensure timely procurement,and ensure procurement strategies align with thecompany's goals.
