Overview:

The F&B Assistant Manager is responsible for supporting food and beverage operations within a dynamic and fast-paced live events venue. Strong leadership, exceptional organizational skills, and the ability to excel under pressure while managing multiple events and priorities are essential. Due to the nature of the industry, a flexible approach to working long hours, including evenings, weekends, and public holidays, is required.

Duties and Responsibilities (including but not limited to):

  1. Assist and support the F&B Manager in all day-to-day operations within the company's guidelines and to the highest standards.
  2. Coordinate with the F&B Manager to ensure smooth execution of daily operations, especially during major event days.
  3. Assist in planning, organizing, and supervising F&B operations for events, including concessions, bars, and catering services.
  4. Oversee the setup, execution, and breakdown of bars, concessions, and catering services during events.
  5. Support Events team and F&B Manager in execution of duties; step into various roles as needed, demonstrating a strong team-oriented mindset.
  6. Support the recruitment, onboarding, training, and scheduling of casual and full-time F&B staff, ensuring adequate staffing levels for each event of bartenders, cashiers, and other service personnel.
  7. Monitor staff performance, provide constructive feedback, and implement development plans to enhance efficiency and service standards.
  8. Oversee the staff on event days, managing multiple tasks and maintaining a fast work pace.
  9. Act as the primary point of contact for F&B-related client inquiries and concerns during events.
  10. Manage F&B-related financial operations, including Purchase Requests (PR), Requests for Proposals (RFP), and supplier invoices.
  11. Conduct detailed post-event financial analysis, including Profit & Loss (P&L) statements and cost tracking.
  12. Prepare statistical reports to evaluate F&B performance and identify areas for improvement.
  13. Monitor inventory usage, reduce wastage, and ensure proper handling of products to prevent loss.
  14. Manage, monitor, and control high-volume inventory, overseeing restocking to maintain sufficient supplies.
  15. Conduct physical audits of inventory and products, researching and performing reconciliations.
  16. Ensure that inventory management practices prevent stockouts and excessive waste.
  17. Build and maintain strong relationships with suppliers to ensure timely delivery of products and services.
  18. Conduct regular inspections to ensure all F&B outlets, including storerooms, cold rooms, and all F&B areas, are clean, functional, and prepared for operation at all times.
  19. Ensure compliance with health, safety, and hygiene standards through routine checks.
  20. Oversee equipment maintenance and coordinate repairs to minimize downtime and ensure operational efficiency.
  21. Collaborate with suppliers, promoters, catering teams, and clients to align F&B services with event needs.
  22. Act as the main liaison between the F&B department, caterer and clients to ensure customer satisfaction.
  23. Ensure the seamless delivery of F&B services during events, responding to issues promptly and efficiently.
  24. Understand the demands of working in an event-driven environment, including weekends, public holidays, and extended hours.
  25. Be willing to take on responsibilities outside of the typical job scope to support the team during busy periods.
  26. Assist in the execution of both large and small events, with attention to detail and ability to troubleshoot on-the-go.
  27. Oversee the maintenance and functioning of all F&B-related equipment.
  28. Ensure that all necessary F&B tools and equipment are available and in good working condition.
  29. Develop and implement initiatives to improve customer experience and increase revenue through upselling or new service offerings.
  30. Ensure compliance with legal regulations, including alcohol laws and labour laws, when supervising staff and managing operations.
  31. Continuously seek innovative ways to improve F&B services, streamline operations, and enhance guest experience.
Requirements:
  1. Minimum 2 years' experience in professional F&B setting
  2. Direct supervisory experience
  3. Bachelor's Degree or better preferred from an accredited college or university in public assembly facility management, hospitality management, hotel management, business administration or a related field.
  4. Proven experience in F&B management or a similar role in an event or high-volume environment.
  5. Excellent communication, organizational and interpersonal skills and strong analytical ability.
