Job Purpose


The role is responsible for providing HR and administrative support as part of a member of the Skin Laundry's corporate office team.

The role will support the Head of HR in executing the assigned deliverables across the designated regions for the UAE and UK.


Primary Responsibilities


Coordinating with the external company PRO and ensuring timely completion of all PRO transactions including employment visas, labour work permits etc.


Reconciliation of PRO invoices and bills in line with the monthly transactions communicated and working closely with finance team to confirm monthly ledgers.

Monitoring the expiry dates of passports, visas, labour cards, health cards, etc. and start working on the renewal paperwork one month in advance.


Notifying the Head of HR and other associate departments of document expiries and ensuring that no additional costs are incurred because of fines for expired documents.


Responsible for timely renewals of all company insurance policies inclusive but not limited to staff medical insurance, malpractice insurances, property insurances etc.


Working with the head of HR to ensure that all HR Files are up to date and assisting with the file completion at individual clinics.

Assisting with the scheduling of interviews and calendar management.

Preparing and delivering staff requests like NOC's, salary certificates, employment certificates, etc.


Recording and updating the HR database for both the UAE and UK regions to include all staff identity and employment documents including correspondence pertaining to promotions, transfers, terminations, attendance records, discipline records, employee performance appraisal records and schedules.


Compiling, inputting and updating HR data and documentation into DOTS and testing the functioning of all HR processes with the support of the backend implementation team.

Drafting of required HR correspondence, updating of employee files and ensuring that the master records are up to date.


Keeping up to date on regional HR labour laws, health regulations and circulars as directed by the governing health authorities.

Ensuring that all Clinic HR files are up to date and compliant with DHA and DOH inspection requirements.


Ensuring that all revisions made have been signed off by the employees and saved to the updated file on drop box.

Responsible for reviewing annually the HR policies and protocols and recommending changes to be made as necessary.

Recording and maintaining all company moveable assets and those assets allocated to staff.


Assisting the management team and corporate office team members with scheduling of meetings and furnishing of HR department specific documentation as required.

Assist and support the management team in administrative responsibilities, appointments, and other secretarial tasks.

  • Acts as the company's centralized document controller and custodian of legal documents for its regional locations.
Responsible for obtaining competitive quotations for all company contracts and recording and filing of agreements. (Insurance, maintenance, pest control, fire alarms, etc.)

Supporting and assisting with other administrative duties as assigned by corporate office departments and clinic teams.

Supporting the Procurement manager and the Regional Director with administrative tasks as requested.

Skill requirements
Should have strong communication and interpersonal skills.

Should have good document control experience with emphasis on prioritization of tasks and attention to detail.

Knowledge of organization policies, procedures, and systems.

  • Knowledge of health administrative practices and government reglations.
  • Skill in gathering and interpreting data.
  • Ability to work independently and as part of a team.
  • Ability to take initiative and to exercise independent judgement, decisionmaking and problemsolving expertise.
  • Ability to research and prepare reports or other correspondence as required.

AED5,000.00 per month
