Role Description:

This is a full-time position for an Executive Administrator at Pronyx Trading LLC, based in Dubai.

The Executive Administrator will play a pivotal role in providing comprehensive administrative support to executives, managing communications, scheduling, and overseeing general clerical duties.

This role requires on-site presence in Dubai.

Responsibilities:

  • Provide general support to clients and visitors.
  • Oversee procurement of office supplies, equipment, and inventory, ensuring availability and adherence to budgetary guidelines.
  • Manage petty cash, reconcile expenses, and submit reports.
  • Coordinate travel arrangements, including hotel, restaurant, and flight bookings, as well as visa requirements for C-Level Executives.
  • Organize and coordinate meetings, appointments, and events, including calendar management, venue booking, equipment setup, and preparation of materials.
  • Act as the primary point of contact among executives, employees, clients, and external partners.
  • Take minutes during meetings and prepare reports as needed.
  • Act as a personal assistant to the CEO.
  • Develop and maintain internal processes and filing systems for physical and digital records.
  • Assist in the hiring process and onboarding of employees.
  • Manage attendance, payroll, leave allowances, gratuity settlements, and WPS system accurately.
  • Process company licenses, visas, Emirates IDs, and insurances efficiently.
  • Coordinate with government entities such as MOHRE, ICA, DED, and RTA.
  • Manage utilities portal, bill payments, and renewals.
  • Be available after working hours for urgent tasks and errands.

Qualifications:

  • Demonstrated experience in administrative assistance, with a minimum of 4 years in Dubai.
  • Excellent phone etiquette and communication skills.
  • Strong clerical skills, including organization and recordkeeping.
  • Ability to multitask and prioritize effectively.
  • Proficiency in office software and equipment.
  • Prior experience in a similar role preferred.
  • Attention to detail and problemsolving abilities.
  • Strong interpersonal skills and ability to work well in a team.
  • Bachelor's degree in business administration or related field is a plus.
