JobDescription
Manage thereception of Natixis DIFC Branch.
Supporting the businesslines and support functions in their travel arrangements andlogistics need.
Provide admin support to the Procurement& Workplace department.
Assist the Head ofProcurement & Workplace on communication topics.
Assist on the LEED and WELL certification of the Dubai Branch andmanage the ongoing operational requirements and reporting.Reception
  • Operation of the maintelephone system including directing calls to appropriateindividuals and messagetaking asrequired
  • Meeting and greeting office visitorsand clients
  • Liaise with service companies toensure key business equipment ismaintained
  • Handle management of Branch pettycash for daytoday operational expenses
  • Managemeeting room bookings
  • Receive and distributeinward mail/couriers stamp and send outgoing mail liaise withselected courier companies to ensure timely dispatch of outgoingconsignments
  • Maintaining the logbook record forvisitors
Business linesupport
  • Organising travel itinerariesincluding air travel/transfers/visas/hotelbookings
  • Scheduling business meetings andcollation of all documentsrequired
  • Communicating with other Natixisoffices worldwide
  • Telephone/Video Conferencingorganising the calls and liaising withparticipants
  • Assisting the SCM when his PA ison leave
Workplace:
  • To ensure that Natixisoffices are safe clean wellmaintained andfunctional.
  • To manage relationships internallywith stakeholders and support functions and externally withlandlord & managing agent supply partners to provideefficiency and business continuity to the Natixis Dubaioffices.
  • Manage daytodayincidents.
  • Manage the day to day requirementsof the WELL & LEEDcertifications
Adminsupport
  • Arranging corporate eventssuch as staff gatherings seminars and offsitemeetings
  • Manage the orders of printed materialsuch as business cards envelopes letterheadsetc.
Communication
  • Assist the Head ofProcurement & Workplace on communication relatedtopics
  • Act as coordinator for corporate eventsand sponsorships
  • Printing of all communicationrelated material
  • Admin for the Middle Eastwebsites
  • Manage internal communication channels(Yammer SharePoint)

RequiredSkills/Qualifications/Experience

In addition to relevant experience and secretarial andadministrative knowledge the applicant will need to show evidenceof the following:

  • Excellent PC skills including WordExcel and PowerPoint
  • Attention todetail
