Our client a leading business with global operations in the Oil and Gas sector are seeking an experienced Arabic speaking EA/PA to support their Chairman in the company offices in JLT. 

Whilst a majority of the role will be focused on Executive support there will be some personal support required working alongside the current PA. 

The chosen candidate will be expected to to travel infrequently, most likely once every 2/3 months with the CEO on his private plane.

  • With a primary responsibility of supporting the Chairman, provide support to ensure that company goals and objectives are accomplished and operations run efficiently.
 
  • Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information from the Chairman to senior executives, coordinate meetings, arranging conference calls, reserving conference rooms, organizing catering.

  • Manage professional and personal scheduling for Chairman, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics.
 
  • Manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks.

  • Maintain and refine internal processes that support the highest-ranking executives’ company-wide, coordinating internal and external resources to expedite workflow.
 
  • Plan and orchestrate work to ensure the work priorities are met, organizational goals are achieved, and best practices are upheld; Where appropriate prepare and circulate meeting agendas and materials, attend meetings, take and distribute meeting notes, follow up on action items.
 
  • Ability to multi-task and complete a variety of projects in a fast-paced environment.
 
  • Perform administrative and office support, such as taking Minutes at meetings, typing, dictation, spreadsheet creation and maintenance of electronic filing system and updated contact database.
 
  • Always maintain professionalism and strict confidentiality with all Chairman’s affairs (business/household), Guests, co-workers and all materials while exercising top discretion in all circumstances.
 
  • Organize team circulars at Chairman’s instructions and coordinate the planning of functions offsite.
 
  • Work alongside the Chairmans 2 other assistants (both Private Assistants)
 
Background and/or experience.

  • Arabic and bilingual English speaker
  • Superb written and verbal communication skills; excellent presentation, professional conduct
  • At least 7-10+ years of Executive Assistant /Personal Assistant experience reporting directly to upper Management/ CEOs/Shareholders/HNWIs
  • Strong time-management skills and the ability to organize and coordinate multiple projects at once; self- motivation, flexible and easy-going personality is a must
  • Experience in handling confidential matters, overseeing budgets and checking/preparing expense reports.
  • Experience developing internal processes and filing systems.
  • Experience working in a multicultural Team
  • Experience working in the Oil & Gas industry, Energy or banking sectors
  • Excellent and active professional network; exposure to the Middle East cultural business practices and savvy of the GCC customs.
