In addition, Wall Street in the U.A.E provides other services such as Instant Cash Global Money Transfer, Credit card bill payments, National Bonds, Air Arabia, Etisalat, eWallet,Du, Ding, DEWA and much more.Administration Manager | Wall Street Exchange – A member of Emirates Post Group Dubai | Apply NowCore duties and responsibilities:Service DeliveryEnsure all legal documents are up to date and accurate escalating any issues to the relevant Head of DepartmentCoordinate with stores and security vendors to carry out maintenance worksOversea the effective planning to minimise the time spent on construction and remodelling and maximise efficiencies in the process.Manage store and office maintenance projects, tracking results, establishing KPI’s and measuring these throughout the process.Review and manager all maintenance contractsManage and coordinate the license renewal process for all storesFinancialCreate the most cost effective options for building/remodels/maintenance (materials, opening costs etc.)Identify cost optimization initiatives when managing the construction and remodeling projects, including environmentally friendly opportunities.Spec and negotiate equipment packages, review all contracts with a view of reducing the cost base without compromising on qualityDevelop systems to optimize electricity and HVAC operating costsProcess and OperationsMaintain the database of stores valid legal documents, vendor contracts and related government entitiesEscalate renewal notices to all relevant departments to allow for contract negotiation and approvals with adequate time.Develop material specs across all stores, including materials and equipmentEstablish an inventory management system for all store non-supply items and ensure these are kept in stockDevelop trackable processes for store construction and remodeling projectsEnsure stores meet the regulatory requirements for CCTV, Alarms, Security Cameras, FF & FA access controls.Customer FocusLiaise with contractors and service providers across both maintenance and construction projects ensuring timelines are met and exceededSupport the store teams with any related changes to closures/openings remodeling ensuring effective communication of the changes and timelinesBuild strong working relationships with the vendors and suppliers enabling the best possible service delivery to the storesDevelop communication tools for departments to influence and drive key requirements to enable to successful changes to be implemented within the stores.ComplianceEnsure all services provided by the function are compliant with the CBUAE and WSE policies & procedures.Raise any concerns surrounding compliance and risk related issues, either directly or through the whistleblowing procedure using aware within the team and wider organization of the employee responsibility in working in a risk free and compliant manner.Attend risk and compliance awareness programmes during the course of the employment whether it is as part of the on-boarding process or the annual refresher training.Knowledge & SkillsEssentialExcellent communication and influencing skillsAnalytical and problem solvingDecision makingAbility to draft reportsPreferredTeam workingAttention to detailResults orientatedEducational Qualifications:Bachelor’s degree or equivalent with a specialization in property and engineering or relevant subject or equivalent demonstrable experienceRelevant Experience:Minimum 8-10 years of relevant experience with at least 5 years in a similar role together with people leadership experience.Prior exchange/banking experience in the areas of sales, operations or customer serviceLanguage Skills:Essential:Written and spoken EnglishStakeholdersInternal: All employees of the WSEC GroupExternal: Chamber of Commerce, Civil Defense, Vendors, Landlords and Regulatory bodiesDon’t miss out on thisn’t m exciting opportunity – apply now at dubaiofferz.com
