  1. Monthly Manhour Report to HSE
  2. Monthly follow-up for TWP expiry, Visa & EID expiry, Work Permit expiry, Passport expiry, CICPA Pass expiry in coordination with PRO/HR officer & Administrator
  3. Employee Leave entries on HR portal (Focus HCM) and employee file management.
  4. Payday Card management for ME, MEM and all project related TAs (i.e., Fujairah, DEWA, Rotating etc) including application, collection, distribution, cancellation, log register.
  5. CICPA Pass management for ME, MEM and all project related TAs (i.e., Fujairah, Rotating, Operations etc) including application, collection, distribution, cancellation, log register.
  6. Manage and control over the Office Stationary, office equipment supplies and maintenance.
  7. Prepare Local Purchase Order as per approved Purchase Requisition (for Air ticket, stationery, office supplies etc.)
  8. Send Purchase order to supplier and follow up (for Air ticket and stationary)
  9. Maintain company rental Car File and renewal updates
  10. Driver Trip sheet / Time sheet verification to be complete on weekly basis and record managements.
  11. Follow-up for time sheet entries till 15th of every month and generate report for payroll.
  12. Manage and control over for verifying Etisalat & ADDC bills and forward to Accounts department for payment including personal call deduction for payroll.
  13. Coordination of daily Transportation for guests
  14. Coordination with drivers for guest and local transport as when required
  15. Maintain incoming and outgoing correspondence register (Fax & Email)
  16. Assist and support Admin & HR Manager for filing, documentation, maintain Agreement File, Job contracts, coordination of travel & hotel bookings related to senior delegates, coordinate appointments and meetings etc.
  17. Assist and support Human Resource Management activities according to workflow assignments.
  18. Prepare company correspondence i.e., Letter and Memo related to Admin & HR department
  19. Book conference room for Client visit, internal meetings.
  20. Carry duties from time to time as assigned by the Department Head
  21. Filing of administrative documents (including Hard and soft copy)
  22. Support and assist any other tasks arise on the departmental requirements.
  23. All correspondence and coordination for workshop accommodation (letters, memo, gate pass etc)
  24. Coordination of employee Health Insurance process, additions, deletions, documentation, reimbursement claim etc.
  25. Coordination of all type of event arrangements (e.g. Power Gen, Adipec, employee wellbeing activities etc.) as per Department requirement and instruction
  26. Company document update, indexing, scanning, recording filing etc. when required as per standard practice. Also weekly follow-up and reporting
  27. Pay Day Card record update, maintain log register, coordination with Finance House, reporting.
  28. Update and Maintain Sustainability Record related to Business Travel.
  29. Update and Maintain record of Business Trip & Field Service applications.
  30. Ensure compliance with QMS & HSE company policy & procedures.
Desired Candidate Profile
  • Graduate in any bachelor's degree,
  • Proficient in MS Office Applications (i.e., Word & Excel, PowerPoint etc)
  • bility to deal and communicate at all levels
  • Good organizational skills

Year of Experience - Min. 2-4 years of relevant experience with at least 2 years' experience in Admin/HR roll supporting a small/large, complex organizations, preferably energy or oil and gas industry.
