Role: Executive Assistant

Location: Ajman Emirate, UAE

Type: Fulltime

Working Hours: 9 AM to 6 PM (1 Hour Break) or 8 AM to 8 PM with (1 PM to 4 PM Break)

Salary: 8000 AED to 10000 AED Max with Visa and Medical.

Key Responsibilities

Administrative & Executive Support

  • Manage executive calendars, schedule meetings, and coordinate appointments.
  • Handle daily email correspondence and screen incoming communications.
  • Prepare reports, presentations, and documentation as required.
  • Organize and maintain confidential files and records.

Meeting & Travel Management

  • Arrange domestic and international travel, including flights, hotels, visas, and itineraries.
  • Prepare meeting agendas, take minutes, and follow up on action items.
  • Coordinate logistics for internal and external meetings, events, and conferences.

Communication & Coordination

  • Serve as the primary point of contact between the executive and internal/external stakeholders.
  • Draft professional emails, memos, and communication on behalf of the executive.
  • Ensure timely communication and updates across departments.

Operational Support

  • Assist in project coordination and track progress on key initiatives.
  • Conduct research and compile data for executive decision-making.
  • Manage expense reports, reimbursements, and financial documentation.
  • Support HR/admin activities as needed (onboarding, vendor coordination, etc.)

Requirements

Education & Experience

  • Bachelor's degree in business administration or a related field (preferred).
  • 3–7 years of executive support or administrative experience.
  • Experience supporting senior leaders (CEO/Director/VP level)

Skills & Competencies

  • Excellent communication skills (written and verbal).
  • Strong organizational and time-management skills.
  • High level of confidentiality, professionalism, and discretion.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and work independently with minimal supervision.
  • Strong problem-solving and decision-making skills.
