Role Overview
We are seeking an
Operations & Administrative Coordinator
to support the firm's day-to-day operations and internal organization.
This role is central to ensuring that administrative processes, internal coordination, and presentation materials are executed to a high professional standard. It is suited to someone who brings
professional maturity
, understands workplace responsibility, and is comfortable operating in a professional services environment with minimal supervision.
Key ResponsibilitiesOperations & Administration
- Coordinate calendars, meetings, and internal scheduling
- Support invoicing processes and follow-ups in coordination with the accountant
- Maintain and update internal systems (CRM, project tracking tools, shared drives)
- Ensure accurate filing, documentation, and version control
- Support onboarding and offboarding processes
- Handle confidential information with discretion and professionalism
Formatting & Presentation Support
- Format and finalize PowerPoint presentations, brochures, and internal/external documents
- Ensure consistency with the firm's visual and professional standards
- Prepare clean, well-structured materials for client and executive use
- Manage revisions and updates efficiently and accurately
Coordination with External Parties
- Coordinate with external suppliers (designers, printers, service providers)
- Liaise with partners and third parties for administrative and operational matters
- Follow-up on deliverables, timelines, and required inputs
Process & Organization
- Follow and maintain internal procedures and workflows
- Support the implementation and continuous improvement of operational processes
- Ensure tasks are completed accurately, on time, and with accountability
- Anticipate issues and address them proactively
Profile We Are Looking For
- Based in the UAE
- 3 to 5 years of relevant professional experience
in administration, operations, or coordination roles - Experience in professional services, consulting, legal, financial, or corporate environments is a strong advantage
- Demonstrated
professional maturity and sound judgment - Strong organizational and execution skills
- High attention to detail, particularly in document formatting and presentation
- Clear, professional communication skills
- Ability to work independently, manage priorities, and handle pressure calmly
- Fluent in English (Arabic is a strong advantage)
