Role Overview

We are seeking an 
Operations & Administrative Coordinator
 to support the firm's day-to-day operations and internal organization.

This role is central to ensuring that administrative processes, internal coordination, and presentation materials are executed to a high professional standard. It is suited to someone who brings 
professional maturity
, understands workplace responsibility, and is comfortable operating in a professional services environment with minimal supervision.

Key ResponsibilitiesOperations & Administration

  • Coordinate calendars, meetings, and internal scheduling
  • Support invoicing processes and follow-ups in coordination with the accountant
  • Maintain and update internal systems (CRM, project tracking tools, shared drives)
  • Ensure accurate filing, documentation, and version control
  • Support onboarding and offboarding processes
  • Handle confidential information with discretion and professionalism

Formatting & Presentation Support

  • Format and finalize PowerPoint presentations, brochures, and internal/external documents
  • Ensure consistency with the firm's visual and professional standards
  • Prepare clean, well-structured materials for client and executive use
  • Manage revisions and updates efficiently and accurately

Coordination with External Parties

  • Coordinate with external suppliers (designers, printers, service providers)
  • Liaise with partners and third parties for administrative and operational matters
  • Follow-up on deliverables, timelines, and required inputs

Process & Organization

  • Follow and maintain internal procedures and workflows
  • Support the implementation and continuous improvement of operational processes
  • Ensure tasks are completed accurately, on time, and with accountability
  • Anticipate issues and address them proactively

Profile We Are Looking For

  • Based in the UAE
  • 3 to 5 years of relevant professional experience
     in administration, operations, or coordination roles
  • Experience in professional services, consulting, legal, financial, or corporate environments is a strong advantage
  • Demonstrated 
    professional maturity and sound judgment
  • Strong organizational and execution skills
  • High attention to detail, particularly in document formatting and presentation
  • Clear, professional communication skills
  • Ability to work independently, manage priorities, and handle pressure calmly
  • Fluent in English (Arabic is a strong advantage)
