Executive Assistant

The Executive Assistant (EA) provides high-level administrative, organizational, and strategic support to the Executive Leadership. The role requires discretion, efficiency, strong judgment, and the ability to manage multiple priorities while acting as a trusted gatekeeper and coordinator across internal and external stakeholders.
Key Responsibilities
Executive Support
- Provide comprehensive administrative support to the Executive, including calendar management, meeting coordination, and travel arrangements.
- Act as the first point of contact for the Executive, managing emails, calls, and correspondence with professionalism and confidentiality.
- Prepare agendas, presentations, reports, and briefing notes for meetings and executive reviews.
- Track action items, follow up on deadlines, and ensure timely execution of executive decisions.
Coordination & Communication
- Liaise with internal departments, senior management, board members, and external partners on behalf of the Executive.
- Coordinate executive meetings, board meetings, and confidential discussions, including minute-taking where required.
- Ensure clear communication flow between the Executive Office and stakeholders.
Confidentiality & Governance
- Handle highly sensitive and confidential information with discretion and integrity.
- Maintain organized records, contracts, and executive documentation.
- Support compliance with internal policies, governance requirements, and company procedures.
Operational & Strategic Support
- Assist with project tracking, executive initiatives, and cross-functional coordination.
- Support the Executive in managing priorities across multiple entities or business lines.
- Anticipate executive needs and proactively resolve issues before escalation.
Office & Administrative Management
- Coordinate logistics, travel, visas, and expense tracking for the Executive.
- Maintain accurate filing systems (digital and physical).
- Support ad-hoc tasks and special assignments as required.
Qualifications & Experience
- Bachelor's degree in Business Administration, Management, or a related field.
- Minimum
3–5 years of experience
as an Executive Assistant or Personal Assistant supporting senior leadership. - Experience working in a corporate, investment, hospitality, or multi-entity environment is an advantage.
