**POSITION REPORTS TO**: Procurement & Logistics Executive

**Position Overview**:
The Procurement Coordinator is responsible for coordinating the procurement of goods and services, ensuring timely order placement, accurate tracking, and vendor coordination. This role supports the Procurement & Logistics Executive by handling administrative tasks, order processing, vendor communication, and documentation, ensuring smooth operation across procurement activities. They proactively initiate tasks and follow processes to make sure business continues as usual with mínimal downtime or interruption to workflow with primary focus on local purchasing and logistics tasks.
**Key Responsibilities**:
**Procurement Support**:
- Prepare and process purchase orders, ensuring they align with company policies.
- Receive quotations, analyze, and recommend solutions/alternatives.
- Coordinate with vendors to confirm order details, pricing, and delivery schedules.
- Track order statuses and follow up with suppliers to ensure timely delivery of goods and services. Proactively monitor order lead times.
- Collaborate with the Procurement & Logistics Executive to source competitive pricing and maintain strong supplier relationships.
**Vendor Management**:
- Communicate with vendors to clarify order requirements, address any discrepancies, and ensure timely and accurate fulfillment.
- Maintain up-to-date vendor files, including pricing agreements, contracts, and performance evaluations.
- Assist in resolving issues related to order delays, product quality, or shipment discrepancies.
**Logistics and Documentation**:
- Assist in tracking and documenting inbound and outbound shipments, coordinating with suppliers, freight forwarders, and the logistics team to ensure on-time delivery.
- Maintain accurate records of purchase orders, invoices, shipment documents, and vendor correspondence.
- Support the team in preparing documentation for import/export compliance as needed.
**Inventory and Stock Management**:
- Work closely with the warehouse team to monitor stock levels and ensure prompt replenishment of critical inventory.
- Update and maintain inventory records in the Purchasing/Logistics System (e.g., AppSheet), ensuring data accuracy.
- Assist in stock audits and provide procurement support for warehouse operations when required.
**Collaboration and Communication**:
- Regularly update the Procurement & Logistics Executive on order statuses, potential delays, and procurement challenges.
- Collaborate with the sales and operations teams to ensure smooth coordination of supply and demand, supporting both project and client requirements.
- Liaise with the finance department to ensure that vendor invoices are processed accurately and timely.
**QUALIFICATIONS / KEY SKILLS REQUIRED**:
- Diploma/Degree in Business Administration, Supply Chain Management, or a related field.
- 2+ years of experience in procurement, logistics, or supply chain operations.
- Familiarity with procurement processes, vendor management, and logistics coordination.
- Strong organizational and multitasking skills, with attention to detail.
- Excellent communication and negotiation skills, with the ability to collaborate effectively with internal and external stakeholders.
- Ability to work independently and take initiative in a fast-paced environment.
- Strong problem-solving skills and ability to prioritize tasks.

Pay: From AED5,000.00 per month
