Roles and responsibilities

The Maintenance Coordinator serves asthe primary contact and liaison between customers and the servicedepartment. This role involves preparing repair orders, diagnosingvehicle issues, recommending repairs, and ensuring that all serviceactivities comply with company policies and regulations. The idealcandidate will possess strong technical knowledge of automotivemaintenance, exceptional customer service skills, and the abilityto manage multiple tasks efficiently.
JobResponsibilities/Accountabilities:
Repair Orders andDocumentation:
- Prepare detailed repair orders, ensuringall necessary signatures are obtained for accuraterecord-keeping.
- Draft work orders with clear,comprehensive information.
- Maintain parts stockinventory with store.
- Check SLA (service levelagreement) for individual lease customer and maintain standardrepair.
Vehicle Diagnostics and RepairRecommendations:
- Diagnose vehicle issues and recommendappropriate repairs to customers.
- Consult withtechnicians regarding necessary repairs and explore cost-effectivealternatives when applicable.
- Arrange for vehicleinspections (e.g., passing inspections) in preparation forregistration renewals.
- Create job estimates based onlabor time using dealership rate schedules.
- Followrepair order processes to ensure timelycompletion.
Customer Relationship:
- Assistcustomers by providing product information and checking inventoryavailability.
- Advise customers on automotivemaintenance and repair services, explaining the benefits andnecessities of proposed repairs.
- Develop and maintainstrong customer relationships by delivering exceptional service andensuring satisfaction with the work performed.
DataManagement:
- Enter and maintain detailed records offleet information to provide accurate updates to management asneeded.
- Collaborate closely with the service and fleetteams to track vehicle movements and update the systemaccordingly.
- Submit weekly, daily, and ad hoc reportsas required.
Compliance and Safety:
- Ensurecompliance with company policies, state regulations, and safetystandards related to automotive service operations.

The MaintenanceCoordinator is responsible for scheduling repairs, managingpreventive maintenance programs, and ensuring compliance withsafety standards.

KeyResponsibilities

Schedulingand Coordination

  • Planand schedule routine maintenance and repair tasks for equipment,machinery, and facilities.
  • Coordinate withmaintenance technicians, contractors, and vendors to ensure timelyexecution of tasks.
  • Ensure maintenance work iscarried out during off-peak hours to minimize disruption tooperations.

PreventiveMaintenance

  • Develop andimplement a preventive maintenance program to reduce downtime andextend the life of equipment.
  • Monitor thecondition of machinery, HVAC systems, and other criticalinfrastructure to prevent breakdowns.
  • Maintainrecords of maintenance activities, inspections, andrepairs.

Troubleshootingand Repairs

  • Respond toemergency repair requests and coordinate the troubleshooting andfixing of mechanical, electrical, or plumbingissues.
  • Evaluate the severity of issues anddetermine whether in-house technicians or external contractors arerequired.
  • Ensure repairs are conducted promptlyand to the required safety and qualitystandards.

Inventoryand SuppliesManagement

  • Maintain aninventory of parts, tools, and equipment needed for repairs andmaintenance.
  • Order and track supplies to ensureavailability and prevent unnecessary delays in maintenancework.
  • Ensure compliance with budgetaryconstraints when ordering materials andsupplies.

Complianceand Safety

  • Ensure thatall maintenance work complies with health, safety, andenvironmental regulations.
  • Conduct safetyaudits and inspections to identify hazards or areas requiringimprovement.
  • Work with management to implementcorrective actions following safetyassessments.

TeamManagement andSupervision

  • Supervisemaintenance staff or external contractors, ensuring they follow thecorrect procedures and safetyprotocols.
  • Provide training and guidance tomaintenance staff on proper repair techniques and equipmenthandling.
  • Evaluate the performance ofmaintenance staff and recommend improvements or additionaltraining.

Reporting andDocumentation

  • Keepaccurate records of all maintenance activities, including workorders, inspection reports, and completedrepairs.
  • Generate regular maintenance reportsfor management, highlighting issues, trends, and necessaryimprovements.
  • Track maintenance costs and workto stay within budgetary limits.
